Preschool Administrative Assistant

(Non-Exempt Position)


PTS Preschool provides families with a warm, nurturing, and loving preschool experience. ?Since our Preschool opened its doors in 1982, our program has earned a reputation for excellence, and we have seen our preschool grow from one classroom to the vibrant 12 classes it is today. Our beautiful facility provides an enhanced, developmentally appropriate environment where children are encouraged to explore and develop their curiosity through play and challenging experiences. 

We are seeking an energetic, self motivated, and dependable person to help build and support our PTS Preschool Community. 

Administrative Duties

Preschool Front Desk

  • Answer phones, assist callers, and transfer
  • Open door and greet families or prospective families
  • Complete daily administrative tasks, such as copying, sending letters, and opening mail
  • Manage weekly class attendance via an online app
  • Ensure that all children are picked up safely at the end of the school day
  • Assist Director of Early Childhood Education (DECE) in implementing policies to ensure safety and security of students before, during, and after school
  • Ensure California State Licencing regulations are followed and up to date
  • Maintain current child and staff files in accordance with our State Licensing regulations

Assisting Preschool Staff and Teachers

  • Ensure that school events, programs, and meetings are on the PTS master calendar
  • Maintain personal calendar for DECE, including making and confirming appointments
  • Engage in cross training with other administrative staff to ensure consistent and excellent service to our community
  • Assist DECE in planning for school year including ordering, sorting, and maintaining supplies 
  • Provide support for teachers
  • Prepare classrooms and manage registration in accordance with Community Care Licensing requirement
  • As a member of the larger PTS administrative team, assist colleagues as needed in planning and staffing other PTS events


Customer Relations Management Database

    • Assume primary responsibility for managing school data in our database, currently ShulCloud and Remini
    • Assist staff and volunteers with supplies and expense reimbursement requests
    • Handle cash reimbursement in a timely manner and help track and maintain a yearly budget
    • Create reports, files, forms and mail from ShulCloud
  • Assist both the DECE and Assistant Director of Early Childhood Education in maintaining electronic data of students, including updating photos, school, and other personal information
  • Improve process and implement new plan for event and school registration using CRM program

 Communications and Social Media

  • Assist senior staff and Communications Specialist with social media recommendations
  • Create and proof online and print publications as part of staff editorial team
  • Assist preschool office in creating and distributing weekly communications

While performing the above tasks, the Preschool Administrative Assistant is expected to:

  • Create a warm and inviting atmosphere when greeting visitors, answering phones, scheduling appointments and coordinating events
  • Demonstrate warmth and patience despite working in a busy and often hectic environment
  • Keep a clean and organized work environment
  • Coordinate and facilitate positive working relationships with a diverse group of employees, volunteers, parents, and other stakeholders

Position Requirements

Skills and experience

  • Ability to create, proofread and edit communication materials
  • Advanced proficiency with Microsoft Office Suite, including mail merge, tables and other formatting
  • Expertise in Google calendaring, documents and spreadsheets
  • Proficiency finding/using social networking, social media forums and blogs, and other web-based tools
  • Experience in a school or similar fast-paced environment strongly preferred
  • 6-12 ECE Units a plus

  • Sense of humor and friendly personality a must


  • $60,000-$70,000 yearly salary
  • Medical, long-term disability, and retirement plans
  • Paid holidays: Up to 10 secular holidays and up to 8 Jewish holidays (actual schedule depends on day of week on which certain holidays fall)

This position reports to the Director of Early Childhood Education
