Temple Sholom Executive Assistant

Position Summary:
Temple Sholom is seeking a warm, organized, and proactive Executive Assistant to play a central role in supporting the daily operations of our vibrant and inclusive Reform synagogue. This individual will serve as a key member of our team—helping our clergy, Executive Director, and all director level staff fulfill their missions of spiritual leadership, community engagement, and educational excellence. The ideal candidate brings not only strong administrative and technical skills, but also a welcoming presence and a deep appreciation for the values of kindness, confidentiality, and community connection.

Key Responsibilities
Front Office & Member Interaction

  • Serve as the welcoming face of Temple Sholom for all who call or visit—providing hospitality, guidance, and warmth to members, guests, and vendors.
  • Maintain a professional and organized front office environment, including keeping shared spaces tidy and stocked with necessary materials such as pens, paper, toner, and other essential supplies.
  • Answer phones, greet visitors, and ensure that inquiries and requests are handled with warmth and efficiency.

Clergy & Director-Level Administrative Support

  • Support the clergy and director-level staff, including managing calendars, correspondence, and meeting materials.
  • Transcribe and format correspondence, memos, and documents for the clergy, and director level staff.
  • Prepare printed materials for Shabbat, holidays, and special programs.
  • Provide additional administrative support to clergy as needed with a helpful and collaborative spirit.

Organizational Communications & Scheduling

  • Assist with scheduling, member meetings, and clergy appointments.
  • Support synagogue communications, including donation acknowledgment letters, synagogue mailings, and community notifications.
  • Coordinate and distribute regular and special mailings, including High Holy Day guest tickets and the annual Book of Remembrance.

Database & Financial Administration

  • Maintain and update membership data in ShulCloud, and donation spreadsheets
  • Partner with the Executive Director to process donations and dues payments; track accounts receivable.

Office & Records Management

  • Maintain digital and physical filing systems for organizational materials, including Board and staff reports, minutes, and policies.
  • Maintain office supplies and equipment, including mail and postage operations.
  • Ensure confidentiality and discretion in all matters relating to personnel, financials, and member information.
  • Distribute and open mail; receive and process all incoming accounts receivable mail.

Qualities & Skills

  • A warm, friendly, and approachable demeanor
  • Excellent organizational and multitasking abilities
  • Discretion, professionalism, and sensitivity to confidential matters
  • Strong written and verbal communication skills
  • Proficiency in Microsoft Office, Google Workspace, and CRM/CMS systems (experience with ShulCloud and/or Chaverware a plus)
  • Comfort working in a Jewish setting (familiarity with synagogue life and Jewish holidays helpful but not required)
  • Ability to work both independently and collaboratively
