Hours Per Week: 5

Weeks Per Year: 40 (approximately August-May), plus 50 additional hours in August-October for High Holidays

Pay Per Hour: $20

Overview: The Program Assistant will be responsible for developing and supporting programming across all demographics at CBE with a particular focus on youth programming. For Youth events, duties may include designing and executing youth events – including all logistical preparations, registration, coordinating with CBE communications and administrative staff, and day-of facilitation. For High Holidays, duties may include managing registration and communications regarding High Holiday Youth Programming and being the on-site coordinator for all Youth services and babysitting during Rosh Hashanah and Yom Kippur. Additional administrative support to broader CBE High Holiday preparations may be expected as time permits. For other CBE programming throughout the year, the Program Assistant may provide support for administrative and logistical preparations. The Program Assistant’s presence at select non-Youth programs will be scheduled at the discretion of the CBE Executive Director as time permits.

Approximate Time Commitment by Month:

  • Plan and execute 1 youth-focused event (7.5 hours): At least 5 of these events should be focused on children between grades 6-9 (immediate pre/post b’nai mitzvah) to encourage continued engagement.
    • Planning time, including coordination with Youth Programming Chair (1 hour)
    • Manage registration and logistical preparations (3 hours)
    • Event execution (3.5 hours – 1 hour set up, 2 hours event management, 0.5 hours clean up)
  • Provide logistical support to BEECC/Young Families events (3 hours)
    • Support BEECC Operations Director on registration and logistical preparations (1.5 hours)
    • Prepare all supplies to be used at event (1.5 hours)
  • Consult with committee chairs and volunteer leadership planning events (12 hours)
    • Ensure all calendar/publicity forms are submitted
    • Follow up on logistical support needed
    • Coordinate catering and other ordering with CBE Executive Director and Office Manager
    • Create and manage registration forms in Shulcloud and post to CBE website
  • As time permits, update CBE’s social media accounts and/or plan a second youth-focused event, engaging more than one age demographic during the month (7.5 hours)
    • Post event announcements and updates from past events to CBE’s social media accounts.
    • Dependent on volume of support needed from BEECC and non-youth events in a given month, additional youth events may be scheduled at the discretion of the Program Assistant and the CBE Executive Director.

Sample High Holidays Schedule:

  • Day-of Babysitting and Youth Programming Oversight (20 hours)
    • 8:30 AM – 2:00 PM (Day 1 Rosh Hashanah)
    • 8:30 AM – 2:00 PM (Day 2 Rosh Hashanah)
    • 5:45 – 8:15 PM (Kol Nidre)
    • 8:30 AM – 3:00 PM (Yom Kippur)
  • Youth Programming Coordination (16 hours)
    • Confirm service leaders for all youth programs (4 hours)
    • Manage signup genius and confirm babysitters and volunteer support for all services (4 hours)
    • Coordinate with service leaders to confirm plans and provide needed supplies (3 hours)
    • Manage youth program registration process and produce registration lists (5 hours)
  • General High Holiday Preparation Support (14 hours)
    • Create and print all High Holidays signage (3 hours)
    • Organize mailings for tickets and Annual Appeal cards (4 hours)
    • Manage forms for all High Holidays registrations and ordering and maintain High Holidays webpage (4 hours)
    • High Holiday-related social media management

Suggested Qualifications:

  • 1-3 years of prior work, volunteer, or professional experience
  • Applicant should have an understanding of the Jewish calendar and Jewish practices, including holiday rituals, kashrut, and Jewish culture
  • Experience planning and running events for 10-50 people is encouraged
  • Experience with Microsoft Office Suite and basic website management are a plus
