Background

The Community Security Service (CSS) is the leading organization for training American Jewish volunteers to protect their communities. At CSS, our mission is simple: Protect Jewish Life and Jewish Way of Life. Through our tiered programs and training, volunteers learn to identify threats and proactively safeguard their synagogues, institutions, and events. We have trained over 8,000 volunteers across denominations and regions in the United States on situational awareness and operational security.

Position

CSS seeks a highly intelligent, resourceful Office Manager with exceptional communication skills and organizational ability. An ideal candidate will be able to quickly synthesize information and present it with confidence to the principal; in the long-term, this candidate will be managing multiple simultaneous projects toward big-picture goals.

 

 

An ideal candidate is an experienced, self-starter that has the ability to create order from chaos, and a willingness to roll up their sleeves ready to directly solve challenging problems where required.  This position is a full-time / on-site opportunity.

 

 

Responsibilities

  • Manage external communications, responding to emails and interfacing with vendors, volunteers and donors as appropriate
  • Organize and develop content creation for key documents including board decks and donor communications
  • In coordination with development team support donor acknowledgment process
  • Prepare logistics, details and materials as needed for large events and meetings
  • In collaboration with lead staff assist with list and database management
  • Maintain an office inventory (marketing and promotional materials as well as specific materials for special meetings and/or trainings)
  • Mail support materials on an ongoing basis
  • Help coordinate all travel arrangements, preparing itineraries, planning logistics and reimbursement details for different events
  • Liaise with gear store vendor and help troubleshooting and answering questions related to gear store
  • Support special projects and other duties as assigned

 

Qualifications

  • 2-6 years experience as an executive assistant, program coordinator, project manager, or similar with a nonprofit organization.
  • Strong time management skills and ability to set own schedule without falling behind on tasks
  • Proven experience in a fast paced work environment, adept at multitasking, and efficiently reporting to multiple team members
  • An ability to create order from chaos, and willingness to roll up sleeves to directly solve challenging problems where required
  • Detail-oriented, strong organizational skills and ability to multitask projects in a fast-paced & changing environment both independently & collaboratively
  • Strong analytical, oral, and written skills
  • Must be able to maintain a high level of confidentiality

 

Other considerations

Must live in the United States, New York Metro Area and be eligible to work in the US. This position is currently work from home, and should be available for occasional evenings and weekends. Travel is expected to be approximately 20%.
