POSITION TITLE: Administrative Specialist to Clergy and Executive Director Location: Congregation Beth Israel – Scottsdale, Arizona Status: Part-time, 20 hours/week | Hourly Rate: $25–28/hour

CBI seeks a proactive and detail-oriented Administrative Specialist to provide essential support to our Senior Rabbi and Chief Clergy and Executive Officer (CCEO). This part-time role ensures the smooth coordination of day-to-day operations, communications, and programming within the synagogue. The Administrative Specialist plays a key role in supporting clergy, managing scheduling, coordinating volunteers, and maintaining accurate congregational records.
Reporting directly to the CCEO, the ideal candidate will thrive in a dynamic setting, possess excellent communication and organizational skills, and have the ability to juggle multiple priorities with professionalism and warmth.
Provide comprehensive administrative support to the Senior Rabbi and CCEO, including scheduling, document preparation, and correspondence management.
Partner with the Senior Rabbi to expand CBI’s programming by coordinating with committee leaders and overseeing lay-led and volunteer-led events, classes, and activities.
Schedule, train, and support volunteer front desk Reception Team members.
Assist in planning and executing lifecycle events, holidays, and special programs.
Maintain accurate congregant data in our CRM system (e.g., ShulCloud), including yahrzeit information, family relationships, and contact details.
Coordinate meeting logistics, including space setup, calendar management, and material preparation.
Support special projects and perform other duties as assigned by clergy and executive leadership.
Prior experience as an administrative or executive assistant, preferably in a synagogue, nonprofit, or mission-driven organization.
Strong written and verbal communication skills.
Proficient in Microsoft Office and database systems; experience with synagogue CRMs like ShulCloud is a plus.
High level of discretion and sensitivity in handling confidential information.
Ability to work independently and collaboratively in a fast-paced environment.
Friendly, welcoming demeanor and a commitment to excellent customer service.
Knowledge of Jewish holidays and synagogue life is preferred, though not required.
This is an on-site position, requiring 20 hours per week. Occasional evening or weekend hours may be required for special events and services.
