Operations and Administrative Director

Full-Time | Education Department | Reports to: Senior Director of Learning & Engagement

Position Summary:

Our Operations & Administrative Director plays a central role in ensuring the success of our early childhood and religious school programs. As the connective thread within our dynamic Education Department, this individual brings order to complexity, streamlines operations, and provides warm, responsive service to families and staff alike.

Key Responsibilities:

Operations & Systems Management

  • Design, implement, and refine operational systems that support the smooth functioning of our schools and educational programs.
  • Serve as the lead administrator for ShulCloud, our synagogue database, managing billing, registration, and enrollment interfaces.
  • Oversee scheduling and space reservations via Mazévo, ensuring alignment with the synagogue’s Operations team.
  • Partner with educators to support the logistical aspects of events, holidays, and family programming.
  • Maintain clear and consistent communication across the Education team to ensure seamless planning and execution.

Enrollment & Admissions Support

  • Support Early Childhood Admissions by maintaining and troubleshooting the SchoolAdmin platform, assisting prospective families, and managing forms and workflows.
  • Collaborate with school directors on all aspects of enrollment and re-enrollment, ensuring a smooth and welcoming experience for families.
  • Ensure student files are current and compliant with Department of Health standards, in partnership with our leadership team.

Office & Resource Management

  • Serve as the Education Department’s office manager, ensuring a well-organized, professional and welcoming environment.
  • Provide high level administrative and operational support to the Senior Director of Learning and Engagement, including scheduling, meeting coordination, project tracking and department wide communications.
  • Oversee supply ordering and budgeting for all educational programs, maintaining accurate records and thoughtful stewardship of resources.
  • Manage day-to-day office operations, including equipment upkeep, vendor relationships, and the general appearance and functionality of office spaces.
  • Respond to inquiries from parents, congregants and staff, offering thoughtful support or directing them to the appropriate contact.

Human Resources & Finance Liaison

  • Act as a point of contact between Education staff and our Finance/HR team.
  • Assist with payroll preparation, benefits inquiries, and time tracking/reporting systems.

Qualifications:

  • Minimum 5 years of relevant experience in administrative operations, office management, or program coordination — ideally in a school, synagogue, or nonprofit setting.
  • Proven track record of creating and managing systems, processes, and workflows with attention to detail and follow-through.
  • Strong interpersonal and communication skills, with the ability to interact professionally and warmly with families, staff, and leadership.
  • Tech-savvy and confident navigating or learning new platforms (experience with ShulCloud, SchoolAdmin, or Mazevo a plus).
  • Highly organized, proactive, and able to balance multiple priorities with grace and efficiency.
  • Comfortable working both independently and collaboratively in a fast-paced, mission-driven environment.
  • Professional and confident presence in interactions with families, staff and leadership.
Salary85,000.00 - 95,000.00 Annual
