Description

Sinai Akiba Academy seeks a dynamic and detail-oriented Assistant to join our Institutional Advancement team. This pivotal role provides high-level administrative support to the Associate Head of School for Institutional Advancement (AHOSIA) and the broader Advancement team, contributing directly to the success of our fundraising, admissions, and communications efforts. The Assistant ensures the smooth day-to-day operation of the Advancement Office, overseeing administrative workflows, and is responsible for running the social media accounts to enhance visibility and brand consistency. This is a non-exempt, part-time position averaging 25-29 hours/week.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Event Support

  • In collaboration with the Operations Coordinator (as needed), assist with Admissions, Parent Association & Development event planning by coordinating meeting room reservations, equipment and set-up requests, and refreshment set-up/preparation

Social Media Management

  • Support the overall social media strategy and actively manage the school's activity across various platforms, including but not limited to Facebook, Instagram, and LinkedIn, by scheduling posts, responding to comments and messages, and monitoring online conversations
  • Create and publish engaging content using text, images, and videos

Parent Association Support

  • Act as the liaison between the Parent Association (PA) and the School
  • Provide project-based support to ensure the efficient operation of the PA and school events
  • Process all expense reimbursement forms and vendor requests for PA once approved by AHOSIA

Administrative Support

  • Provide comprehensive administrative support to the Advancement Department including calendar management, meeting coordination, and preparation of reports
  • Prepare materials, attend meetings, and take notes at Advancement Department meetings
  • Receive and process confidential information with discretion and in accordance with established guidelines and legal standards
  • Maintain efficient office systems, processes, and records to support the Advancement Department’s operations
  • Learn, use, and apply technology as required by the School to enhance learning and engage with colleagues. Technology includes but is not limited to JagNet, Google Workspace, Paylocity, and any other school-approved software.
  • Perform additional administrative tasks, special projects, and other duties as assigned by AHOSIA and/or Head of School in support of the school’s mission

REQUIREMENTS AND QUALIFICATIONS

  • Bachelor’s degree preferred
  • At least 2 years of high-volume administrative, advancement or relevant experience
  • Experience in independent school advancement, fundraising, or nonprofit administration is a plus
  • Ability to work on campus, Monday-Friday, with the ability to attend school events on weeknights and weekends
  • Basic knowledge of social media analytics and tools
  • Proficiency with Google Suite (Mail, Calendar, Docs, etc.) and uploading and downloading digital resources, Microsoft Office and Blackbaud
  • Graceful disposition under pressure, agile, and flexible
  • Exceptional organizational skills and attention to detail with the ability to manage multiple tasks and deadlines
  • Strong interpersonal and communication skills, both written and verbal
  • Sound judgment, anticipatory skill sets, and prioritization abilities
  • Ability to work well with cross-functional teams, build strong relationships, and embody a growth and collaborative mindset
