Position Summary
Kellman Brown Academy is seeking a warm, organized, and proactive Executive Assistant to play a central role in supporting the daily operations of our dynamic and inclusive Jewish day school. This individual will serve as a key member of our administrative team—helping the Head of School, administration, and faculty fulfill their mission of providing exceptional academic, spiritual, and social-emotional education. The ideal candidate brings not only strong administrative and technical skills, but also a welcoming presence and a deep appreciation for the values of kindness, confidentiality, and community connection that define our school.
Key Responsibilities
Front Office & Family Interaction
• Maintain a professional and organized front office environment, ensuring shared spaces are tidy and stocked with necessary materials such as pens, paper, toner, and other essential supplies.
• Answer phones, greet visitors, and ensure that inquiries and requests are handled efficiently and with care.
•Manage attendance, dismissal, transportation and after-school information
• Provide assistance to parents and visitors regarding school schedules, events, and procedures.
Administrative Support to Leadership & Faculty
• Provide direct administrative support to the Head of School and Director-level staff, including managing calendars, correspondence, and meeting preparation.
• Assist with internal and external communications, including newsletters, announcements, and school-wide updates.
• Prepare materials for Board meetings, parent communications, and school programs.
• Support the planning and coordination of special events, such as assemblies, holidays, and graduation.
Communications & Scheduling
• Manage scheduling for school leadership.
• Assist with school communications including email updates, newsletters, and family notifications.
• Coordinate and distribute school-wide mailings and announcements throughout the academic year.
• Support the marketing and admissions team with communication materials and mailings.
Database & Financial Administration
• Maintain and update student, family, and donor data in the school’s information systems.
• Partner with the Business Office to process tuition payments, donations, and other transactions; track accounts receivable as needed.
• Assist with generating reports, correspondence, and acknowledgments for financial and development purposes.
Office & Records Management
• Maintain organized digital and physical filing systems for administrative, Board, and school records.
• Monitor office supplies and equipment, including mail and postage operations.
• Ensure confidentiality and discretion in all matters relating to personnel, student information, and finances.
• Handle incoming mail and route materials appropriately within the school.

• Proficiency in Microsoft Office, Google Workspace, and CRM or school management systems (experience with FACTS a plus)
