B’nai B’rith seeks an energetic, organized Development Operations Associate (Associate) to play an essential role in driving its development and fiscal administration processes forward while learning the internal functions of America’s first national service organization. The Associate will primarily report to B’nai B’rith’s Director of Data & Development Operations while also working closely with the Controller and Director of Development. The successful candidate will possess strong organizational skills, keen attention to detail, and a methodical approach to tasks as legal paperwork, government filings and financial records are central to this position. The Associate will serve as a liaison for the Fiscal Department, so the ability to interact with a broad spectrum of internal and external stakeholders in a professional fashion is key.
Specific responsibilities include:
Fiscal Operations: Process and code expense submittals, coordinate payments, reconcile invoices and bank statements, communicate with vendors, and staff, and assist the Controller in performing daily departmental duties.
Planned Giving Administration: Manage the receipt of estate gifts and administer charitable gift annuities. Create and update database records, track pending donations, organize, and digitize archival files. Assist Director of Development in maintaining and updating planned giving website and printed materials, executing mailings, sending correspondence, and planning seminars.
Endowment and Scholarship Management: Administer scholarship and endowment funds maintained by BBI and handle all related queries, working closely with Controller and external partners to ensure that deposits, transfers, and distributions are completed on schedule.
General Administration: Serve as the primary point of contact for inquiries to the Planned Giving and Fiscal Departments, ensuring requests are handled or directed to the appropriate staff member. Perform other administrative functions as needed, including filing, updating databases, and managing calendars. Occasional night/weekend event-related work and coverage will be required.
Qualifications: Successful candidates will have experience working in an administrative role. Experience related to gift processing/financial reconciliation and tracking a plus. As is proficiency in Microsoft Office (Word, Excel, Outlook, etc.). Familiarity with CRM/database software and QuickBooks/accounting software preferred.
