Congregation Shir Hadash in Los Gatos, California, is a 550-household Reform congregation located in the heart of Silicon Valley. The Administrative Assistant to Rabbi Educator is a full-time support staff position whose primary responsibility is to support the Rabbi Educator in the administration of all of our youth and family education and informal programs. The Administrative Assistant to Rabbi Educator will also provide general office support when needed.
Responsibilities include, but are not limited to:
Answering calls and emails, greeting visitors and answering questions. One of the first points of contact for members and visitors.
Ensuring that the Rabbi Educator’s calendar is updated with congregational events and programs relevant to the Rabbi Educator.
Create and communicate weekly updates, reminders, and special programs to parents and students.
Oversight of logistics of all internal and external programs in relation to youth and family education and informal programs.
Collecting, reviewing, and processing teacher and new hire paperwork.
Supporting Rabbi Educator and Executive Director in the coordination of and processing of teacher and madrichim payroll, as well as submitting reimbursement requests.
Oversight of school registration and enrollment confirmation using a CRM database system, ShulCloud.
Oversight and maintenance of Temple web pages associated with formal and informal youth and family programming.
Designing fliers and other print media to promote events and programs.
Administering supply and copy needs, classroom setups, student information, etc. in support of teachers.
Regularly updating the Temple calendar, setting up registrations, and posting event descriptions associated with formal and informal youth and family programming.
Maintaining and creating student profiles, including tracking attendance records, special needs, a list of allergies, and emergency contacts.
Maintaining supply inventory including, books, crafts, office supplies and equipment, etc. and ensuring its ongoing organization.
Ordering supplies as needed for the classroom and office.
Supporting the planning, implementation, and supervision of High Holy Day youth programming.
Supporting the Rabbi Educator in the coordination and implementation of special programs, class schedules, and following protocols for formal and informal youth and family programming.
Serve as administrative support for our lay leaders in the planning, implementation of our young-family engagement programs and our youth programs.
Oversight and coordination of Facebook pages for youth and family programs.
Experience and Qualification Requirements:
Previous experience in an administrative support position
A warm personality and ability to interact with congregants, parents and children of all ages
Strong computer skills, including Word, Excel, PowerPoint; pluses include experience with synagogue management software or comparable software, website management, and photography
Must be a self-starter and possess the ability to work both independently and with a team
Ability to prioritize workload and multi-task
Strong communication and organizational skills, with an eye for details, accuracy, and consistency
Familiarity with Jewish practices, holidays, and terminology is a plus
Familiarity with basic office equipment
