Overview

Reporting to the Associate Director and Camp Director, the Operations Manager will have a primary focus on Operations, including the day-to-day running of camp processes and systems. 

Responsibilities

Supervise, implement, manage, and maintain systems and processes for the following areas:

  • Site & Facility
  • Office & Administration
  • Safety & Transportation
  • Marketing & Communications 
  • Camper Recruitment
  • Programming

Site & Facility

  • Technology - work with an outsourced IT company and act as the point person for technology
    • Internet/Wifi, phones, email, and calendar administration
    • Summer technology needs at camp for full time and seasonal staff
  • American Camp Association Accreditation - point person for the accreditation process - annually and every 5 years
  • Laundry - Own and manage the summer laundry process
  • Housekeeping - Manage the housekeeping team throughout the summer
  • Record Keeping - complete monthly PA eDMR from September-May

Office & Administration

  • Summer Office - Supervise, and train the summer office team. Responsible for the smooth operations of summer office life, including mail, phone messages, and more
  • Forms & Registration - Own camper registration process with CampMinder. Own and manage the process for collection of camper and staff forms. 
  • Financial Aid - Own financial aid process, including applications, committee meetings, and aid allocations
  • Staff Days Off - Schedule summer staff days off
  • Payroll/Hiring Paperwork - Send and collect signed staff contracts. Ensure hiring paperwork is filled out for all summer staff, oversee social security applications, fingerprinting, and background checks. Work with the Bookkeeper to ensure staff payroll is up to date.
  • Summer Preparations - Prepare for summer operations including rentals of golf carts, copiers, etc.

Safety & Transportation

  • Emergency Procedures - Ensure camp follows best practices and train full time and summer staff on following the procedures
  • Scheduling - Create staff On Duty schedule
  • Transportation - Responsible for getting campers to and from camp, reserve rental cars/12 seater van/school buses as needed. Manage the relationship and schedule with the bus companies
  • Communication - Ensure that parents understand the transportation process - set up emails and texts to parents regarding bus departures/arrival times
  • Luggage - Manage the relationship with luggage shipping companies

Marketing/Communications

  • Website – Ensure that website is up to date and user friendly
  • Social Media – Create and post social media content and monitor social media platforms
  • Photography – Management of summer photo experience and also manage the archiving process
  • Summer and Year-Round Calendars – Ownership and manage the camp calendars
  • Oversee the maintenance, coordination, and use of camp database and lists for use in content delivery

Camper Recruitment

  • Participate in camper recruitment through phone calls and emails as well as traveling for camp fairs and parlor meetings. 

Programming

  • Supervise the creation, calendar, and implementation of summer evening programs and all camp programming
  • Organize and implement weekly hobby signup and assign campers and staff to hobbies.
  • Create a weekly schedule for bunk activities.
  • As needs and interests are defined, develop new programs as appropriate
  • Coordinate and organize all out of camp trips

Summer Responsibilities

  • Act as a member of the senior leadership team, including working “camp hours,” showing flexibility and on-the-go problem solving, and be a role model in the community.

Position Qualifications and Requirements

  • Bachelor’s Degree preferred
  • 2-4 years experience
  • Exceptional Organizational Skills
  • Awareness of internal and external customer needs
  • Results driven and ability to communicate
  • Ability to identify weak spots in a process to improve efficiency
  • Strong planning and project management skills

Physical Requirements

  • Ability to stoop, kneel, bend, reach, stand, walk, push, pull, lift, work with fingers, grasp, feel, talk, hear, and perform repetitive motions
  • Ability to perform light work exerting up to 50 pounds of force occasionally, and/or a negligible amount of force constant to move objects
  • Heavy visual acuity required performing such activities as preparing and analyzing data and figures, using computers and reading

Work Location

  • Remote position from September - May. Willingness to travel 1-2 times per month work-related events during the academic year.
  • Must reside on-site in Lake Como, PA from June - August.

This position is a full time, salaried, permanent position eligible for Perlman Camp’s outstanding and competitive benefits package.
