Congregation Beth David San Luis Obispo, CA 93401

Position Description:

Congregation Beth David of San Luis Obispo is seeking a part-time Office Administrator to manage the office and oversee building operations.

The Office Administrator would be present on-site from (9am-2pm M-F) with occasional added hours to attend meetings and/or special events. THIS JOB IS 30 HOURS WEEKLY.

Role and Responsibilities:

The Office Administrator reports directly to the synagogue President and will work closely with the Rabbi, staff, and volunteers to help coordinate operations and activities across the organization by:

  • Being the primary point of contact for each congregant, visitor, and vendor.
  • Supervising staff and vendors. Track priorities and schedules for projects and daily work tasks as required.
  • Managing congregations’ financial accounts in coordination with the finance committee: keeping dues, donations, and other financial records updated; ordering building, event, or office supplies as needed; making deposits to and payments from congregational accounts. Working closely with bookkeeper to ensure accurate and up to date information.
  • Creating, managing, and routing office and congregational communications: phone calls, emails, print mailings, electronic newsletters, website updates, social media, brochures, flyers, etc.
  • Creating, managing and updating congregational event and holiday calendars, collaborating with the Rabbi and Board on event scheduling and RSVP tracking, and creating publicity for events.
  • Operating synagogue’s  management software (ShulCloud) along with phone, internet, and security software systems. Knowledge of streaming services required.
  • Setting up and coordinating Zoom online meetings when necessary.
  • Coordinating on-site maintenance staff and cleaning personnel.

 

Qualifications, Skills and Abilities:

  • Familiarity with, or interest in learning about, the basic tenets and practices of Judaism.
  • Experience with office administration, facilities management, and supervision of office tasks.
  • Technology software expertise including Microsoft Office Suite for word processing, spreadsheet creation and maintenance, database management, Adobe or other publishing software, website management, email/communication management, bookkeeping and financial record keeping. Familiarity with report generation from financial software such as Quickbooks. Familiarity with Zoom or Teams meeting software.  Experience with ShulCloud a plus.
  • Ability to communicate effectively in person, by phone, and by email.
  • At least two professional references required.
  • College degree preferred.

Compensation:

Pay ranges from $22.00 - $30.00 hourly commensurate with experience.
