Job Title: Fundraising Support Specialist, Planned Giving & Major Gifts
Reports To: Associate Director of Institutional Advancement
Location: New York, NY
Job Type: Full-Time | Hybrid, in-office 3 days/week
 
Position Summary:
The department of Institutional Advancement’s department is expanding, and we are looking for a Fundraising Support Specialist to work with the Planned Giving & Major Gifts teams. This role will focus on supporting the development team by managing administrative functions related to major gifts and planned giving efforts. This position ensures that donor information is accurately recorded, gift acknowledgments are processed promptly, and meetings and events are well-coordinated. The ideal candidate is highly organized, detail-oriented, discreet, and enthusiastic about philanthropy and relationship-based fundraising.
 
Key Responsibilities:
  • Provide day-to-day administrative support to the planned giving and major gifts teams, including calendar management, meeting scheduling, and travel arrangements.
  • Maintain accurate donor records in the CRM database, including contact information, moves management updates, and gift documentation.
  • Facilitating donor correspondence, gift acknowledgment letters, and stewardship materials.
  • Prepare briefing documents and donor profiles for cultivation and solicitation meetings.
  • Assist with the planning and logistics of donor events, advisory council meetings, and stewardship initiatives.
  • Work with Data Services to generate and format donor reports, mailing lists, and pipeline tracking summaries as needed.
  • Coordinate with finance and development operations to ensure accurate gift entry, pledge tracking, and reporting.
  • Help maintain planned giving marketing lists and track engagement (e.g., newsletter opens, Giving Docs participation).
  • Support the maintenance and promotion of legacy society and endowment program materials.
  • Coordinate and communicate about planned giving initiatives with other departments within the OU as needed to ensure alignment and collaboration.
 
Qualifications:
  • B.A. preferred
  • Familiarity or interest in planned giving and fundraising concepts (bequests, donor-advised funds, charitable gift annuities) is a plus.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook); experience with fundraising CRMs (e.g., Salesforce, Raiser’s Edge, DonorPerfect) strongly preferred.
  • Excellent written and verbal communication skills.
  • Strong organizational skills and willingness to manage multiple priorities in a fast-paced environment.
  • Positive, professional demeanor and a team-oriented attitude.

Salary and Benefits:
The salary range for this position is between $50,000 and $55,000, commensurate with experience.
