Hamakom, a leading Synagogue in the West San Fernando Valley, is seeking a Receptionist / Administrative assistant.
Position Summary:
The Receptionist / Administrative Assistant is the welcoming face and voice of Hamakom.
You play a vital role in supporting our professional staff, clergy, and membership by ensuring smooth day-to-day office operations and helping with Shabbat and event logistics as needed. The ideal candidate is organized, personable, and able to multitask with grace and professionalism in a sacred community environment.
Key Responsibilities:
Reception Duties:
· Greet members, visitors, and vendors warmly and professionally
· Answer and route incoming calls and emails
· Receive and distribute mail and deliveries · Maintain a clean and welcoming front office area
· Provide basic information about services, programs, and synagogue operations
Administrative Support:
· Perform clerical duties such as data entry, filing, scanning, and copying
· Assist with preparation and distribution of mailings, newsletters, flyers, and event materials
· Track RSVPs, maintain event lists, and support online registrations
· Order and manage office supplies and maintain supply inventory
Shabbat & Event Support:
· Work with clergy and program staff to prepare service materials and handouts (e.g., honors lists, memorial pages, announcements)
· Assist with coordination of volunteers, caterers, and vendors as needed
Qualifications:
· Prior experience in reception, administrative, or clerical work; nonprofit or synagogue experience preferred
· Exceptional interpersonal, verbal, and written communication skills
· Detail-oriented, organized, and able to multitask effectively
· Proficient in Microsoft Office; experience with ShulCloud, Constant Contact, or similar platforms is a plus
· Discretion in handling sensitive and confidential matters
· Familiarity with Jewish customs, holidays, and synagogue life is preferred (training can be provided)
Availability for occasional evening or weekend events, especially Shabbat or holidays
Work Environment:
· Primarily in-person role at the synagogue office
· Occasional evening or weekend hours for events or services as scheduled in advance
· Physical requirements are minimal, but occasional event setup support may be requested
· Collaborative, mission-driven work environment serving a diverse community
Salary range is $40,000 to $45,000, commensurate with experience.
