Temple Beth Am in Los Angeles seeks a warm, dedicated, and highly organized individual to serve as the operations coordinator for our Youth Learning and Engagement (YLE) department. The operations coordinator is a full-time position providing high quality administrative support for the YLE department by proactively and precisely managing all logistics related to our department’s work. Our department encompasses the Jewish Learning Community (JLC), our thriving supplement education program, family programming (including our beloved family Shabbaton), and Camp Keshet, our signature summer day camp, among a wide variety of opportunities for kids, teens, and families. The responsibilities of this position include, but are not limited to:

  • Serve as primary administrative support for YLE staff
  • Manage and maintain enrollment process for all YLE programs, including JLC, Camp Keshet, and Family Shabbaton. 
  • Manage financial elements of YLE programming, including distribution of contracts to families, overseeing staff payroll, and as needed follow-up with families and employees
  • Coordinate tracking of requests and offers for financial aid and payment plans, including the collection of necessary materials for decision-making process for all YLE programming, including JLC, Camp Keshet, and family Shabbaton
  • Collaborate with Temple Beth Am accounting department on processing of funds and management of accounts and collection of funds toward past due contracts for all YLE programming
  • Coordinate and maintain all communications for the YLE department, including emails, website, and other materials across the organization
  • Manage logistics for all YLE opportunities, including tracking RSVPs, fulfilling requests for program supplies/materials, coordinating with TBA catering, etc.
  • Manage all facility requests and coordinate with TBA Facilities Team. 
  • Other duties as needed and agreed upon.

Required skills and abilities:

  • Communicate effectively, both orally and in writing, and provide information with clarity and professionalism. 
  • Exemplary ability to follow through on designated tasks and meticulous attention to detail. 
  • Highly developed interpersonal skills: work well with others; interact positively with all community members, co-workers, and stakeholders. 
  • Recognize, respect, and safeguard matters of a confidential nature
  • Judaic knowledge and familiarity with non-profit operations highly desirable
  • Ability to organize, multi-task, perform under pressure with poise, and complete projects with time deadlines
  • Familiarity with standard office equipment, and well-developed keyboarding and computer skills, particularly with regard to GSuite programs and, ideally, Shulcloud software.

Education and experience: Bachelor’s degree and/or experience as an administrative assistant required. Familiarity with children, synagogue life, and previous experience in non-profit settings highly desirable.

Expected Hours: Full Time (40 Hours/week)- exact hours to be determined in conversation with supervisors. Given the duties specified, hours will likely include Sunday morning and some Shabbat (Friday night/Saturday morning) hours as well. This is a salaried, non-exempt position.
