The Beth El Nursery School (BENS) seeks an Associate Director of Early Childhood Education. This is a full-time position, working directly with the Director of Early Childhood Education. The position has generous benefits, including working with a fun, welcoming and talented team.

BENS is a place where families start their Jewish journey together. BENS is a program of Congregation Beth El, and serves as a foundation for families to build ties to the community that last throughout and after their time at BENS.

BENS is proud to have developed a Jewish Outdoor Program. We believe that engaging children in nature, especially during the early years, gives children an opportunity to create meaningful connections with the natural world. We want our children to find wonder and awe in all of creation and make loving and caring for nature part of their lives. Outdoor learning helps facilitate the rich connections that exist between nature and Judaism by providing a curriculum that embraces our Jewish values through art, nature, gardening, and food.  

Candidates should have experience and aptitude helping to manage in a calm, clear and supportive way.  A friendly, positive and professional attitude is fundamental, as is taking the initiative to solve problems, while treating others with courtesy and respect.

The Associate Director is involved in all aspects of BENS administration, while also being supported by wonderful operations, accounting, membership and facilities personnel. Having the ability and interest to support children, parents and co-workers is essential.

Summary Job Description:

JOB TITLE:                   BENS Associate Director

REPORTS TO:                   ECE Director

POSITION TYPE:                Full Time

Pay Range: $55,000 - $65,000 per year, depending on experience

POSITION SUMMARY:   The position supports the administrative and programmatic needs of the Beth El Nursery School (BENS) and the BENS director.

ESSENTIAL JOB RESPONSIBILITIES

Assist the ECE Director in all aspects of BENS administration from greeting families; registering children; financial processing; supporting the hiring of new teachers; payroll support; grant writing; communicating with families and teaching staff; planning, promoting and producing events.

JOB DUTIES

Registration

  • With the assistance of the billing department, update and manage online registrations.  
  • Manage scheduling and billing, and communicate with parents and teachers
  • Create, distribute and process financial aid requests annually
  • Provide administrative support for prospective families
  • Manage program waitlists

Finances

  • Update BENS pricing annually
  • Coordinate monthly billing with the business office.
  • Support the accounting office in their reconciliation and trouble-shooting as needed.
  • Prepare schedule, confirmations and tuition for parents
  • Field billing questions from parents

Communications and Marketing

  • Greet families in a friendly manner and learn their names
  • Create the weekly “New You Can Use” email bulletin by selecting content, laying out and distributing the newsletter.
  • Event publicity create flyers, post on BENS communications platform, News You Can Use, e-update
  • Event Request room set up and equipment needs
  • Managing tours, tracking applications.
  • Maintain and update ECE page of Beth El website, and Google calendars
  • Prepare and distribute class rosters
  • Manage BENS Communications Platform; groups, parents, staff, post and send announcements as needed

Program Administration

  • Update and format BENS policy & procedures and related handbooks (Teacher Handbook, Family Handbook)
  • Maintain accurate children’s files and forms processing; immunization records and licensing forms
  • Schedule required trainings for BENS teachers; report training results as appropriate to the Director
  • Assist with inventory, manage and re-order supplies and equipment as needed
  • Cover for ECE Director as needed during drop off transition, snack preparation and teacher support
  • Request set-up from facilities manager for all events

Teacher Support

  • Assist with payroll
  • Assist with Staff Meetings, Staff Training and Days of Learning
  • Assist with the orientation and onboarding of new teachers
  • Manage the recruiting process when we’re looking for new teachers
  • Arrange for substitute teachers when needed

Family Support

From time to time, assist with:

  • Shabbat Dinners (3 per year)
  • Katanchicks Program when needed
  • Family Hikes (3 per year)
  • Work Parties (3 per year)
  • Shabbat Ruach (approximately 10 per year)
  • Congregational Holiday Celebrations
  • BENS Parent Group (once per month)
  • Gala Support (once per year)
  • Shabbaton Support (once per year)
  • Attend regular Beth El Admin Meetings (one per week)
  • Other administrative support as needed

QUALIFICATIONS, SKILLS AND EXPERIENCE

  • At least 12 ECE credits are required.
  • Ideally, credits of administration and supervision, and 16 hours of health, safety and nutrition course.
  • Excellent verbal and written communication skills, including ability to effectively communicate with internal and external customers
  • Excellent computer proficiency (MS Office – Word, Excel; and Gmail applications)
  • Experience with newsletter preparation is preferred.
  • Must be able to work under pressure and meet deadlines, while maintaining a positive attitude and providing exemplary customer service
  • Ability to work independently and to carry out assignments to completion within parameters of instructions given, prescribed routines, and standard accepted practices as well as delegate work to others
  • High school diploma or GED required
  • Ability to maintain regular, punctual attendance consistent with the ADA, FMLA and other federal, state and local standards
  • Must be able to talk, listen and speak clearly on telephone
