Administrative Assistant/Membership Engagement Coordinator

 TITLE:                       Full Time Non-Exempt

 REPORTS TO:         Executive Director

 SUMMARY:                Working to support key areas of Temple’s programs and to foster engagement, the Administrative Assistant/Membership Engagement Coordinator assists the day-to-day management of membership recruitment, engagement, renewal, and retention efforts. Provide administrative and staff support to the Clergy Team with the “B’nai Mitzvah Journey of Becoming” process and provides program support to our KESHER religious school. The Administrative Assistant/Membership Engagement Coordinator is part of our welcoming office staff, who maintain our professional work setting, and enjoy collaborative relationships that support a warm team environment.

 

KEY RESPONSIBILITIES INCLUDE but are not limited to:

 

B’nai Mitzvah Journey of Becoming support:

  • Administrative support to clergy and B'nai Mitzvah tutor (i.e. scheduling, development of materials, communication with families...)
  • Serve as resource for families with questions regarding the B’nai Mitzvah process
  • Maintain and update all data pertaining to B'nai Mitzvahs

 

Member Engagement Support:

  • Works with Executive Director, Clergy and lay leadership to develop membership materials and social media presence,
  • Manages membership inquiries by welcoming, tracking and following up with prospective members
  • Reviews new member interest forms, harvests data and shares with the various Temple groups and committees
  • Works with Executive Director, Clergy and lay leadership to integrate members in areas of key interests to enrich their ongoing connections
  • Provides Admin support to Associate Rabbi with “Small Groups” program
  • Maintains and updates member database (Shulcloud) and provides reports
  • Engages in data analysis and forecasting related to membership

 

KESHER (K – 12 Religious School) Admin Support:

  • Assists with on-going communications to the KESHER community
  • Coordinates events lists, RSVP’s, name tags, etc. for Kesher and other family programs

 

General Admin Support:

  • Supports Clergy team
  • Shares in weekly Admin staff processing and projections
  • Supports special projects of LT Admin team
  • Duties may be modified or supplemented at any time based on the needs of the Temple as determined by the Executive Director

 

Qualifications: 

  • Bachelor’s degree
  • 5 plus years of office administrative experience
  • Excellent proven communication, writing and editing skills
  • Attuned, people skills, thoughtful/sensitivity
  • Understanding of Judaism, Jewish practices and terminology preferred
  • Warm, welcoming, personable, and flexible
  • Enthusiastic about meeting the challenges of working with staff, clergy, board of trustees and congregants.
  • Self-starter, highly organized, detail oriented, ability to juggle multiple tasks and work independently
  • Have ease with technology, and be a quick learner on new systems
  • Has extensive experience working with Office programs, mail merge, Google Apps, Excel and Adobe programs. Database management experience a plus
  • Be able to handle confidential information and act with discretion
