Description

The Manager, Synagogue Operations plans, coordinates, and manages the support staff, facilities, space, systems, and operations of B’nai Shalom of Olney (BSO) to ensure the smooth functioning of all congregational activity. The manager is responsible for implementing the policies  and overseeing its daily operations in a manner consistent with BSO’s values. The manager is often the first point of contact for members and non-members alike and must present a warm welcoming presence.

Responsibilities:

Office Operations

  • Hiring, training, supervision of office staff, including paid and volunteer staff
  • Management of master calendar
  • Maintenance of membership records
  • Coordination of various forms of congregational communications
  • Work alongside Clergy and Directors to support a positive, team-based, work environment
  • Supervises the day-to-day management of the synagogue’s administrative affairs
  • Main contact for synagogue vendors
  • Serves as the first point of contact for emergency response situations and works with the board to resolve any issues
  • Implementation and oversight of contractual services including but not limited to insurance and service contracts (in coordination with VP Administration and/or Executive Committee)
  • Ability to work occasional evening and weekend hours as needed to attend synagogue meetings/events
  • Manages office support staff. Coaches, mentors, and provides professional development opportunities for staff.

Building Facilities

  • Hiring, training, oversight of custodial vendor
  • Key control and alarm access
  • Oversight of maintenance of building and grounds including but not limited to inventory, custodial services, and gardening services
  • Works with the Facilities House Committee to ensure smooth operation and appearance of building, grounds, property, equipment and daily programming setups
  • Ensures any facility issues are addressed in a timely manner with appropriate vendors

Logistics

  • Provides logistical support for all Shabbat/life cycle/High Holy Day services and synagogue activities
  • Serves as the main point person for High Holiday logistics including tickets, seating, security, set up, etc.
  • Primary point of contact for booking of synagogue space, overseeing major events, coordinate with service providers to secure that functions run smoothly.

Database

  • Maintains accurate membership records using synagogue management software to also include membership data, newsletters, minutes, and historical and archival records
  • Ensures Database is being used to full functionality

Membership

  • Serves as chief point of contact for members’ needs, questions and concerns.
  • Assisting all lay committees, including enabling volunteers to achieve their respective committee goals.
  • Oversees the successful marketing of all programming at BSO and produces clear and accurate communications and marketing materials
  • Oversees the synagogue website and ensures it is up to date
  • Coordinates all Congregational religious and social activity programs with appropriate committees while fostering a warm and caring environment for congregants, lay leaders, volunteers, staff, potential members and visitors.

Qualifications

A successful candidate will be able to:

  • Be self-motivated and have the ability to work independently when needed
  • Work collaboratively with members of the congregation, volunteers and staff
  • Demonstrate computer literacy and competence with website maintenance, social media, Microsoft Office and Shulcloud.
  • Show understanding and familiarity of Conservative Jewish religious practice, values and tradition and the ability to work effectively across the broad spectrum of Jewish affiliations
  • Demonstrate excellent communication skills through written, oral, and electronic means
  • Demonstrate strong organizational and multitask skills
  • Maintain discretion, confidentiality and professionalism at all times

A minimum of 3 years of relevant professional experience preferred
