Job Title: Administrative Assistant- Ziegler School of Rabbinic Studies
Status: Exempt/Salary (Hybrid-4 days onsite, 35 standard hour work week, Fridays close at 2pm)
Salary Range: $65,000-$80,000 annual salary (pay commensurate of experience)

The Ziegler School of Rabbinic Studies is dedicated to training a new cadre of Conservative rabbis who are deeply versed in Jewish texts, committed to a life of mitzvot and the love of God, and who are capable of transmitting the beauty and wisdom of Judaism to others. Job Summary
Administrative Assistant for the Ziegler School of Rabbinic Studies, responsible for running the front office and supporting the three-person administrative team. The Administrative Assistant must be detail oriented and capable in handling scheduling, data entry, event planning, phone and desk communication, and working with other university departments to insure implementation of the overall mission. Strong communication, problem solving, and interpersonal skills required for day-to-day interactions with faculty, students and AJU staff.
Duties and Responsibilities
- Manage front office: answering phones, welcoming guests, scheduling, booking space reservations, monitoring inventory/ordering office supplies and acting as liaison with other departments when necessary.
- Collect event information, community announcements and announcements to prepare weekly newsletter for students.
- Compose singular and mail merge correspondence. Manage email lists, distribution, and list updates.
- Respond to student and faculty (full time/part time) inquiries and requests, including items such as photocopying, managing class rosters, and maintaining contact information.
- Assist with meeting and event preparation (i.e., community wide ordination, school lunch and learns, study days, outside speakers, orientations, holiday events) including invitation lists and mailings, monitoring RSVP and attendance, room reservations, supplies, and coordinating with facilities, catering/food services and outside vendors.
- Preparation and/or processing payment invoices and data entry for budget monitoring and reconciliation. Coordinate back up receipt collection for monthly expense reports and reimbursements.
- Work with Associate Dean and Registrar for details of semester class schedule and faculty communication.
- Maintain dean and school calendars. Scheduling appointments and meetings, coordinating travel arrangements.

Qualifications
- 3-5 years of administrative support experience
- Strong attention to detail
- Exemplary interpersonal, verbal and written communication skills.
- Flexibility and Cooperative Spirit
- Extensive knowledge of Microsoft Office (Word, Excel, Power Point, etc.),must be proficient in Excel.
Preferred Qualifications
- Associate Degree or higher
- Knowledge of non-profit and/or academic institutions
- Familiarity with Jewish community/religious vocabulary

- Work is performed in an office environment and requires the ability to operate standard office equipment and keyboards.
- Must have the ability to walk short distances, and/or drive a vehicle to deliver and pick up materials.
- The ability to lift 10-20lbs
