Description

The Assistant Director of the Birmingham Jewish Foundation’s primary responsibility is to provided assistance and back up the Executive Director.  Following outlines the specific areas of responsibility of the Assistant Director

 

 Donor Development

 

  • Prepare and update current donor lists and prospect lists.
  • Work on special events and showcasing of Foundation, particularly in the area of materials preparation.
  • Play a major role in Israel Bonds campaign and other special fundraising efforts.
  • Prepare for review by Director all development letters and other materials.
  • Assist Director as needed in solicitation of current and deferred gifts.
  • Work with Director on implementation of all Development/Stewardship Committees recommendations.
  • Work with donors to prepare fund documents, e.g. obtaining info
  • Work with Director on Israel Bond drive

 Financial Tracking

 

  • Prepare reports through Raisers Edge (RE) for meetings and reports for agencies/organizations
  • Work with assistants on updating data base info in RE
  • Back up to Executive Assistant on check “batches” in RE, grant vouchers
  • Work with Financial Department to manage funds through Financial Edge (FE)
  • Work with Financial Department on reports for agencies, organizations, boards from FE

 

Current Donor Relations/Stewardship

 

  • Supervise preparation and dissemination of stewardship reports.
  • Supervise preparation and dissemination other current donor communications, keep all lists updated.
  • Be available to talk to current fund donors about any information concerning their fund, including status of their fund and grants.
  • Supervise assistants in preparation of receipts and thank you letters.
  • Quarterly Reports prepared for agencies and donors ( for those that request quarterly reports)
  • Back up to Director on Ruttenberg Foundation

 

 Grants/Allocations

 

  • Prepare all materials for twice a year Unrestricted Funds grants meeting.
  • Serve as primary liaison with Allocations Chair in preparation of meetings.
  • Serve as primary resource, in concert with allocations chair, for all grants
  • communications, including requests for proposals and post-meeting communications with grant applicants.
  • Provide follow up to all grants, including monitoring grants and
  • evaluations.
  • Monitor and work with grants recipients as to publicizing of Foundation support.
  • Work with agencies and fund donors on grants
  • DAF recommendations—research and paperwork, 501 ( c) (3) and supporting foundation, etc

 

Marketing/PR

 

  • Work with Marketing Committee conceptualizing Annual Report.
  • Primary staffing for Annual Report—working with graphic artist, compilation Validating of all material for the Annual Report along with Director,
  • Help Director with writing of articles for Update and other publications
  • Preparation of materials for Directors presentations at agency board meetings, Federation programs, board member orientations and other venues.
  • Represent the Foundation at Community functions.
  • Primary staffing for re-design of website

 

Investment/Financial

 

  • Work with Financial Department to prepare materials for yearly audit.
  • Prepare and compile materials for all JFNA reports, including comprehensive Annual Endowment Survey.
  • Prepare monthly reports for agencies/organizations and BJF.
  • Assist with transmission, management and reporting to Board and investment committee on Foundation Funds with JCEP
  • Work with Investment Committee Chair to manage redemption and reinvestment of Israel Bonds
  • Design, prepare and update all other tracking documents, e.g. agency grants, new gifts.

 

Legal and Technical Issues

 

  • Adapting and updating documents for review by Director and Professional advisers.
  • Assist Director in achieving compliance with all legal/technical issues.

 

Agency/Organization and Community Relations

 

  • Assist Director in preparation of materials for agency and BJF meetings.
  • Prepare format and maintain current information on the status of agency/organizations endowments and provide any requested information.
  • Back up for agency presentations
  • Work with agencies, BJF and our Financial Department on providing agency allocations in a timely manner. (works with assistants)
  • Work with other organizations to facilitate their grants.

 

 Board Relations, Administrative and Miscellaneous

 

 

  • Take minutes at all Board and Committee meetings; work with
  • assistants on dissemination of minutes and other pertinent materials.
  • Along with Director, staff all committee meetings and prepare materials.
  • Prepare/update materials for Board orientation and other training sessions.
  • Working with committees and Director on Board outreach activities e.g. “Friending”—manage logistics, preparation of materials etc.
  • Prepare for Director’s review all information reports, both internal and
  • external.   

 

Staff Supervisory & Training—tasks with assistants:

 

  • Work with consultant and Financial Department on maximizing Blackbaud; look for ways to promote efficiencies and ease in our reporting.
  • Work with Financial Department and supervise Executive Assistant with respect to all Donor Advised Fund Grants.
  • Work with assistants on research for all grant requests, both from unrestricted and restricted funds.
  • Work with assistants to prepare and disseminate all Board processes and communications,
  • Work with Executive Assistant in timely distribution of funds to agencies
  • Work with assistants in preparation of actual fund documents
  • Supervise assistants in distribution of Annual Report.
  • Supervise assistants in preparation of letters and receipts to donors
  • Supervise assistants in upkeep of data base on contributions and coordinate with Financial Department.
  • Supervise Executive Assistant in working with Financial Department in timely distribution of all funds.
  • Supervise assistants in logistics of Special Events/programs
  • Supervise contributions—preparation, data base, tracking
