Chief of Staff — Council for a Secure America (CSA)

Location: New York City strongly preferred; remote work possible (must be available during Eastern Time business hours)
Reports to: Executive Director
Type: Full-time
About the Organization: The Council for a Secure America (CSA) is a non-partisan, non-profit 501(c)(3) organization dedicated to promoting United States energy independence, its impact on U.S. foreign policy, the strategic relationship between the United States and Israel, and advancing the Abraham Accords.

Role Overview

The Chief of Staff will be the primary operational partner to the Executive Director, ensuring smooth and strategic operations across all areas of CSA, including development, marketing, programming, and organizational management. This individual will oversee high-level project tracking, manage communications, lead fundraising initiatives, and strengthen marketing and operational systems. The ideal candidate is a proactive problem-solver with exceptional organizational skills and the ability to manage multiple priorities in a fast-paced environment.

Key Responsibilitites

Executive Support and Strategy

  • Serve as a trusted advisor to the Executive Director and senior team members.

  • Prioritize and manage the Executive Director’s schedule, meetings, and travel.

  • Prepare materials and briefings for meetings, public speaking engagements, and donor interactions.

  • Draft, proofread, and manage high-level correspondence and communications.

Data and Contact Management

  • Maintain and regularly update CSA’s contact databases and email lists.

  • Ensure accuracy of engagement records and generate reports to track growth and outcomes.

  • Develop tools to measure and report on the impact of CSA’s programs and advocacy work.

Development and Fundraising

  • Lead fundraising strategies in partnership with the Executive Director.

  • Conduct research and outreach to prospective donors and strategic partners.

  • Maintain accurate records of contributions, pledges, and donor interactions.

  • Support grant research, proposal writing, and stewardship activities.

  • Develop fundraising materials and donor recognition programs.

Marketing and Communications

  • Manage CSA’s social media accounts (LinkedIn, X, Instagram).

  • Create and schedule content and event marketing campaigns.

  • Oversee email marketing through Mailchimp and monitor performance metrics.

  • Draft press releases and coordinate with external public relations partners.

  • Develop marketing collateral and maintain an inventory of promotional materials.

Event Planning and Execution

  • Plan and execute events such as conferences, briefings, donor events, and mission trips.

  • Manage logistics, including venue booking, catering, travel, speaker coordination, and RSVPs.

  • Create run-of-show documentation and oversee post-event follow-up.

  • Coordinate both in-person and virtual events (Zoom or hybrid formats).
     

Mission Trips and Program Coordination

  • Plan and manage mission trips to domestic and international energy production regions.

  • Handle participant recruitment, travel arrangements, and itineraries.

  • Follow up with participants and partners to strengthen relationships.

Stakeholder Coordination

  • Serve as the point of contact for consultants, partners, and stakeholders.

  • Schedule and manage communications among policy experts, energy sector partners, and international contacts.

  • Track progress and needs of each stakeholder group to align with organizational goals.

Operations and Administration

  • Maintain electronic and paper filing systems.

  • Manage contracts, vendors, and operational expenses.

  • Support QuickBooks management and track organizational budgets.

  • Implement project management tools to streamline organizational systems.

Qualifications

Required

  • Bachelor’s Degree in international relations, public policy, business administration, marketing, communications, or a related field.

  • Minimum of five years of experience across project or program management, development, fundraising, marketing, communications, or executive support in a mission-driven environment.

  • Strong organizational skills and exceptional attention to detail.

  • Excellent writing and verbal communication abilities.

  • Proven success managing priorities and working with senior leaders.

  • Proficiency with:

    • Mailchimp and Canva (required)

    • Google Workspace and project management tools

    • CRM systems such as Little Green Light

    • Social media platforms (LinkedIn, X, Instagram)

    • QuickBooks and scheduling platforms like Calendly and Zoom

  • Ability to thrive under pressure and work flexible hours, including evenings and weekends.

Preferred

  • Experience supporting senior executives or government officials.

  • Familiarity with fundraising databases such as Salesforce, HubSpot, or Raiser’s Edge.

  • Knowledge of U.S. energy security, Middle Eastern politics, or international relations.

  • Experience with grant writing and foundation relations.

  • Evening and weekend work required for events and high-priority initiatives.

  • Combination of remote work and in-person days in New York City.

  • Willingness to travel regionally and nationally, with occasional international travel.

  • Position balances strategic initiatives with daily operational management.
