Description

The Orchard Academy at Mountain Top School, the private preschool of Temple Har Shalom in Warren Township, NJ (Somerset County), is looking to fill our preschool office’s Administrative Assistant role in anticipation of the retirement of our long-time current team member, seeking to add a key staff member to team to help us provide a second-to-none, high quality experience to all of our students and their parents. This full-time, salaried, 12-month, in-person position includes a normal M-F 8:00am-4:00pm commitment and would begin on June 23, 2025.

Responsibilities and duties include:

  • Serving as first point of contact, greeter, and informational support for all visitors coming to preschool office and to school events, exuding a warm and welcoming demeanor; being an excellent communicator and purveyor of customer service.
  • Answering main phone line and acting as operator for messages and forwarding of calls; making calls, on behalf of school, for follow-ups, information requests, etc. with an ability to use discretion and confidentiality.
  • Tracking and logging prospective leads through our internal systems, including ability to share positive aspects of school during conversations.
  • Keeping master student files including all enrollment paperwork (hard copy and digital), all in accordance with state licensing standards.
  • Keeping up-to-date attendance records to ensure accurate tracking of students and staff; using attendance data to assist with monthly billing charges.
  • Working closely with school-specific CMS system, Brightwheel, to manage student and family information; ensuring data is accurate and up-to-date; creating and distributing reports based on this data to staff when needed.
  • Managing snacks, supplies, and supply storage areas; creating system(s) for ensuring supplies are stocked and notifying appropriate personnel when more need to be ordered.
  • Attending to various clerical needs as they arise for Directors and/or Education Staff; this may include organizing, making copies, laminating, putting together packets/mailings, etc.
  • Taking notes during weekly staff meeting and distributing succinct notes after the meeting.
  • Formatting and distribution of weekly lunch calendar; maintaining informational bulletin board with weekly lunch menu, monthly birthdays, etc.
  • Attending and/or serving as support for all staff meetings, parent meetings, conferences, and in-services provided at the school.
  • Working in tandem with preschool administrative and office staff, maintenance staff, Temple office staff, and others to ensure seamless experience for students and staff.
  • Helping maintain facility in a healthy, safe and secure condition.
  • Performing other duties as required or assigned.

Qualifications include:

  • Strong working knowledge of school-based organizational structures. Working knowledge of Jewish holidays and practice a plus.
  • Excellent organizational skills. High level skills with computers, including Microsoft Office 365 suite (Outlook, Word, Excel), Google, and a willingness/ability to quickly learn and adapt to new systems and platforms.
  • Appropriate discretionary judgement when dealing with potentially sensitive health, employment and/or financial information.
  • Ability to be self-driven and task oriented with demonstrated success in working collaboratively as a member of a team.
  • Effective and very strong communication skills (orally and written).
  • Ability to successfully pass a criminal background check in accordance with state and federal regulations; ability to successfully pass a medical examination, including documentation of negative Mantoux tuberculin test.
