ABOUT THE ORGANIZATION

On October 27, 2018, 11 Jews from three congregations were murdered while worshiping in what became the deadliest antisemitic attack in the United States. In the years since the tragedy, incidents of antisemitism and identity-based hate, often coupled with deadly violence, have continued to rise.

In spring 2022, we established a new 501(c)(3), Tree of Life Inc., to rebuild at the site where the attack took place. The Holocaust Center of Pittsburgh is part of the new Tree of Life organization. This new organization will educate and inspire individuals and communities from across our nation to recognize and stand up against antisemitism through remembrance, experience, and action.

 

SUMMARY OF RESPONSIBILITIES 

The Chief Operating Officer is responsible for overseeing effective operating procedures across the organization and is responsible for overseeing the day-to-day management of the organization.  Broad areas of responsibility include but are not limited to finance, operations, technology, banking and funds management, and talent/human relations. The COO is responsible for developing a growth strategy in partnership with the CEO. The COO will establish the infrastructure needed to achieve organizational objectives and will develop scalable systems and processes, set operational goals with the CEO, and coach and manage department leaders.   

 

PRIMARY ROLES & RESPONSIBILITIES

Financial Oversight:

  • Establish an aligned operational vision, strategy, and goals as well as budgets and long-term financial plans aligned with the growth strategy of the organization.
  • Provide financial updates, oversee the accounting and financial processes and procedures, and evaluate financial reporting package for accuracy and completeness.
  • Partner with the accounting firm to guide analyses including comparisons of budget and actual revenue and expenses, forecasts, and risk management.
  • Interview and make recommendations for an auditor to CEO and Finance Chair/Treasurer.
  • Oversee banking relationships and make recommendations to CEO and Finance Chair/Treasurer regarding funds management.
  • Provide financial oversight during the construction process, in consultation with the CEO.

Office Operations/Administration  

  • Define and implement operational policies and guidelines for the organization.
  • Develop and implement staff evaluation parameters and create templates for job descriptions.
  • Oversee recruiting and hiring process to ensure effective onboarding and streamlining operations.
  • Manage employee relations in pursuit of maintaining an excellent work environment by developing a strong, sustainable team by mentoring, developing, rewarding, and retaining top talent.
  • Actively build relationships with staff to create a bridge for smooth communication organizational-wide.
  • Serve as liaison with Tech Support and oversee resolution of IT related issues. Handle all onboarding tasks with tech impact to ensure new staff have e-mail and access to various applications. 

Human Resources and Administration

  • Oversee human resources functions including talent acquisition, onboarding, and professional development.
  • Work with outside counsel as necessary to develop HR policies and procedures to ensure equity and compliance.
  • Oversee general office management and facilities.

Technology and Data

  • Oversee systems and infrastructure to support accurate data collection and analysis to support fund development and communications.
  • In partnership with the CEO and consultants, identify and implement software programs and databases to streamline internal operations.

Board Support and Liaison

  • Serve as liaison between the Board and the CEO, ensuring that Board members have the information they need to effectively represent the organization’s mission and make informed decisions.
  • Assure compliance with applicable rules and regulations set in bylaws for all board and committee matters.
  • Create agendas for board and executive committee meetings with final review by the CEO and Board President.

Committee Support 

  • Provide staff support to the Finance Committee and the Treasurer.

Communications and Outreach 

  • In partnership with the CEO and Board President, maintain relationships with external partners and identify potential vendors for future partnerships.
  • Work with and oversee external consultants as requested by the CEO.

 

ABOUT THE SUCCESSFUL CANDIDATE

The successful candidate will be a cross-functional systems thinker, capable of managing multiple internal workstreams simultaneously. The COO will be a hands-on senior leader within the organization.

  • COO should have at least 8 years of senior management experience within a non-profit organization, as an inward-facing executive with the ability to lead operations, finance, IT and HR functions.
  • Proven track record of results in increasing efficiency and operational management of an organization through creation, streamlining or digitization of processes.
  • Ability to rapidly transition from highly innovative and strategic to tactical.
  • Excellent problem solving, analytical and organizational skills. Strong attention to detail.
  • Demonstrates discretion and excellent judgement. Strong communicator, verbal and written.

 Salary and benefits are competitive and commensurate with experience.
