Religious School Administrative Assistant

Job Description

The Congregation Beth Shalom Religious School seeks to instill in its students and their families a love of Judaism and the desire to be life-long learners and knowledgeable participants in the Jewish community.

Our school enriches its students with an understanding of Judaism and what it means to be a Jew, a good American and ultimately a mensch.  Our fundamental objective is that this education will enable our students to overcome challenges posed by living in the modern world through the wisdom and insight of Jewish tradition, ritual and custom.

Position is part-time, 20 - 25 hours per week – with opportunity for additional hours based on Audio/Visual tech skills. 

  • Work hours require Tuesdays from 3 p.m. to 8:30 p.m., Sundays from 8:30 a.m. to 12:30 p.m., some Saturdays from 9:30 a.m. to 12:30 p.m. and additional hours during the week including occasional nights and weekends as needed for special events.
  • Part-time benefits include paid time off
  • Compensation Range: $22 - $25 per hour

 

The Religious School Administrative Assistant responsibilities will include but are not limited to the following:

School Administration Support:

  • Work with Director to develop creative ideas for school and curriculum
  • In conjunction with the Director, create and update all handbooks, flyers, and materials for teachers, parents and Madrichim
  • Assist Director in preparing, executing, and cleaning up from classes, chugim, Shabbat dinners, special events and programs
  • Design and maintain bulletin boards with current information
  • Proofread all materials, both electronic and print, to ensure professionalism
  • Secure substitute teachers as needed
  • Assist Director with payroll
  • Administer the SKIP program

Customer Service:

  • Be a positive, calming and professional face of the school
  • Enforce school and synagogue policies and procedures
  • Use a customer service approach to interacting with students, parents and teachers
  • Answer and return phone calls in a timely manner, directing calls as needed
  • Assist parents in late arrival, early pick-up, sick child pick-up, first aid requests

Technology Skills:

  • Monitor registrations, class placements and school databases in ShulCloud database
  • Create forms and track attendance in ShulCloud database
  • Update and maintain school portion of CBS website
  • Help monitor online group and individual class schedules
  • Maintain email list and update weekly correspondence in Constant Contact
  • Knowledge of Zoom, Google Suite and Microsoft Office
  • Training provided for ShulCloud database software

Office Management:

  • Organize and maintain school front office and staff lounge
  • Prep materials for teachers, including laminating and photocopying
  • Supervise Madrichim assigned to work in the office
  • Oversee all technology equipment in school, including maintenance, update, and usage by staff
    • Apple iPads
    • Smart Board
  • Assist Director with ordering supplies, food, etc. as needed
  • Assist Director in communication both written, mailings and calling parents
  • Maintain updated class attendance lists with teachers

Qualifications and Skills:

  • College graduate
  • Previous office work experience
  • Excellent verbal and written communications skills
  • Knowledge of Jewish customs and traditions
  • Hebrew language helpful but not required
  • Proficient in online meeting and education platforms (Zoom, Padlet, Mentimeter)
