POSITION SUMMARY
The Operations & Program Assistant is responsible for providing administrative support for the Operations and Program teams. This position plays an essential role in ensuring the success of Moving Traditions by supporting our staff, being the liaison to the different teams within the organization and serving as the first point of contact for many vendors and outside constituents. The job requires accountability, a team mindset, a high degree of professionalism, and discretion around issues of confidentiality.
While this is a mostly remote staff position, the ideal candidate for this role will reside in the Philadelphia, PA area and will be able to travel to the Moving Traditions storage unit in Abington, PA as needed.
ORGANIZATIONAL SUMMARY
Moving Traditions emboldens Jewish youth to thrive through the pursuit of personal wellbeing (shleimut), caring relationships (hesed), and a Jewish and feminist vision of equity and justice (tzedek). Combining positive psychology with Jewish values, we partner with Jewish institutions across North America to engage Jewish teens, families, and communities. Since its founding in January 2005, Moving Traditions has championed impact-focused youth-serving programs at the intersection of gender, wellbeing, and Judaism. Our suite of programs includes Moving Traditions B-Mitzvah Family Education Program for preteens and parents; Teen Groups - transformative communities where youth explore who they are through Jewish and gender lenses; the Kulam curriculum for Hebrew High School settings; the Kol Koleinu Teen Feminist Fellowship; and Kumi: An Anti-Oppression Teen Leadership Experience. Finally, through CultureShift, Moving Traditions trains professionals who work with Jewish teens at camp and elsewhere about how to create healthy culture around gender, boundaries, and consent, and more.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Virtual Office Administrator Responsibilities
- Manage emails, letters, phone calls, and other forms of correspondence.
- Support execution of consultant contracts process, including setting up draft contracts as needed.
- Support IT-related projects, including onboarding of new staff, and work with external IT and phone providers as needed.
- Support staff by providing tech support and formatting documents.
- Responsible for ordering and distributing office supplies and promotional materials for staff and others.
- Travel to the storage facility located in Abington, PA, as needed.
- Provide operational and logistical support related to the Moving Traditions Board of Directors.
- Support Org Culture initiatives (Birthday Buddy and Sunshine Committee).
- Arrange travel for staff and schedule meetings (in person and virtually), as needed.
Program Team Support
- Responsible for data maintenance in Salesforce, ensuring information is up to date, accurate, and integrated.
- Create and integrate Formstack forms with Salesforce.
- Responsible for survey clean-up and timely dissemination of results to partners and team members.
- Respond to support email box.
- Assist colleagues whenever there is an opportunity to do so.

COMPENSATION
Compensation at Moving Traditions is determined based on the salary band for the role and adjusted based on cost of living where the final candidate resides. The salary range for this role is $44,000 – $46,000, annually. Moving Traditions provides a generous benefits package including paid time off for vacation and sick leave, many Jewish holidays, and major national holidays. We also provide 100% employer paid medical, dental and vision benefits as well as STD/Life insurance and FSA participation. Additionally, employees are eligible for paid parental leave based on length of service and a 401K employer contribution after a year of service.
APPLICATION PROCESS
The process for the hired applicant will include the following steps:
- Submission of a Resume as well as a Cover Letter.
- Applicants moved forward will have a phone screening with a member of Moving Traditions HR team.
- Applicants that move forward from the screening interview will have a first-round interview with the Hiring Manager and the VP of Program.
- The final round interview will be with the CEO and the CFOO.
- Three professional references will be requested at the end of the interview process.
