Administrative Manager

Beth Am Synagogue | Baltimore, Maryland

 

The Administrative Manager is responsible for providing administrative support to the clergy and Executive Director. They are also tasked with supporting the communications of the synagogue. This position will report to the Executive Director and Senior Rabbi. The Administrative Manager should be able to communicate effectively with the staff and members of the congregation, be self-directed, empathetic, and flexible.

 

Essential Duties and Responsibilities of the Position

The essential functions include, but are not limited to, the following:

  • Provide administrative support to the clergy and Executive Director
    • Maintain the Senior Rabbi’s calendar and coordinate calendars and scheduling for the other senior staff as needed
    • Manage and track member correspondence and pastoral care updates
    • Record and communicate recent deaths to the congregation
    • Coordinate and create all Shabbat-related tasks and documents
    • Coordinate with the clergy on B’nai Mitzvah tasks and meetings
    • Provide communication and other support to staff, lay leaders, and volunteers regarding life cycle and other events and administration of our conversion program
    • Support clergy in developing weekly Staff Meeting agenda, scribe and distribute minutes in a timely way
    • Manage the High Holy Day ticketing process, forms, orders, and communications. Manage seasonal staff who assist with High Holy Day preparations
    • Manage Torah reading and synagogue honors requests in collaboration with the clergy.

 

  • Provide general office management and support
    • Answer the main office phones, receive and direct visitors to the building
    • Coordinate with vendors at the direction of the Executive Director

 

  • Support Beth Am’s internal and external communications strategy and online presence
    • Edit, proofread and generate content needed for Beth Am communications
    • Create and distribute weekly email-based newsletters, including preparation of basic graphic design, registration forms, and evaluation surveys
    • Prepare social media campaigns for programs, including event pages, teaser campaigns, and photo documentation of events to share with the congregation
    • Manage Beth Am’s social media presence across platforms including but not limited to Facebook and Instagram
    • Design registration forms and manage RSVPs for synagogue events and Jewish Discovery Lab programming
    • Maintain and develop content for the synagogue’s website.

Qualifications:

  • Bachelor’s degree or higher.
  • Minimum 2-5 years of experience in office administration, office management, or related fields, ideally in a nonprofit environment.
  • Be proficient in Microsoft Office Suite, Google Workspace, Facebook and Instagram.
  • Have a strong design aesthetic and proficiency with Canva and Constant Contact
  • Strong administrative skills, including document management, scheduling and calendar management, data entry and reporting.
  • Knowledge of Jewish traditions and lifecycles strongly preferred.
Salary65,000.00 - 70,000.00 Annual
