Operations Manager

Santa Barbara Hillel 

Role Overview

Santa Barbara Hillel seeks a highly organized, detail-oriented individual with strong office administration and facilities management skills to serve as our Operations Manager. This full-time, non-exempt position with excellent benefits is open beginning July 1, 2023. It includes some evenings and weekend hours to support programs and events. There is a more significant workload during the academic year, with lighter hours during the summer and other school break periods. You will find a list of responsibilities below.

What You’ll Do

  • First Point of Contact: You’ll greet people with a warm welcome as the first contact for phone calls, emails, and drop in’s. 

  • Financial Systems and Purchasing: Your eye for detail will help us ensure timely payment of expenses, process payroll, oversee purchasing, manage business credit cards, process donations, engage systems to ensure proper tracking of expenses, and work closely with our accountants to process reimbursements and invoices.

  • Facilities: You will oversee the maintenance and upkeep of our Santa Barbara Hillel, including the parking lot and grounds. You will manage the work of our janitorial service, landscape company, and other contractors. You will coordinate rentals of the facility. You will ensure our space remains attractive, welcoming, and safe. 

  • Administrative Support: Responsibilities include but are not limited to assisting with expense reports, connecting with Hillel International Human Resources to ensure legal compliance, assisting with onboarding and offboarding employees, booking travel, organizing meetings, and data entry. Where applicable, you'll provide administrative support to the Executive Director, staff, board, and student interns.

  • Program Support: You will train and supervise 3-8 student interns and all volunteer kitchen staff. You will manage the day-to-day operations of the Hillel kitchen, coordinate events and ensure that all services are delivered to the highest standard, monitor financial performance and recommend improvements, and ensure compliance with all relevant regulations and standards. You will provide support at student programs, including Shabbat and holidays, on evenings and/or weekends as agreed upon with your supervisor. 

What You’ll Bring to the Job

The ideal candidate for this position will have the following qualifications:
  • Bachelor’s degree required

  • 3+ years experience preferred 

  • Knowledge of food service practices, including planning, execution, and evaluation of meals, staffing, equipment utilization, and cost control.

  • Experience in general operations and/or facilities management

  • Ability to lift and carry a minimum of 30 pounds

  • Demonstrated reliability and ability to work independently within a team

  • Knowledge of computer software programs, including Microsoft and Google 

  • Excellent verbal and written communication skills

  • Some experience with budgeting and bookkeeping

  • Experience mentoring and/or supervising others is a plus

Other skills and attributes:
  • Outstanding organizational and time management skills, including the capacity to juggle competing priorities and deadlines

  • Comfortable with pronoun usage and able to engage with students from a wide range of backgrounds and beliefs

  • Agility to address changing needs of students in real-time

  • Ability to learn new procedures and systems

  • Drive to take initiative to complete each task to a high standard

  • Participating in a culture that values transparency, collaboration, and creativity

  • Impeccable discretion and appreciation of confidentiality and trust

  • Inclination to take initiative

What You’ll Receive

  • Competitive salary in the non-profit marketplace. The salary range for this role is $45,000 - $55,000.
