Synagogue Administrative CoordinatorThe Synagogue Administrative Coordinator person contributes integrally to the congregation’s success, supporting staff and lay leaders with membership and communications functions.Key responsibilities will include administration; office management; communication with members and facilitating their engagement; and assisting in implementing events, religious services, and activities. The assistant will be one of the primary front-line contacts with the community and with other organizations. Attendance at key events and some Shabbat/holiday services is expected. The successful candidate will be an integral part of a team to further our mission.Role and Responsibilities1) Publicity & Communication (for each: write, publish, post, and/or design)a. Website and Google Calendar (Word Press)- work with webmaster daily to update websiteb. Email Announcements (Constant Contact)c. Printed Publications – Shabbat Bulletin, Flyers, Signage, Bi-Monthly Newsletter Publicationd. Social Media (Facebook, Instagram, Twitter)
e. USPS Mailings, Mail Merges using Microsoft Word
2) Assist Officea. Be the “voice of the office” as the first point of contact when congregants or any other person callsb. Manage, post & distribute Synagogue Calendar – (Public & Internal)c. Coordinate Event Publicity and Facility Set Up (auxiliaries & membership)d. Manage Membership Databasese. Manage phone systemf. Communicate effectively and personably with congregants and make sure their needs are metg. Work closely with Executive Director and Rabbi on tasks deemed necessary by them
Qualifications and Educational Requirements1) Bachelor’s degree preferred with 4-5 years of experience working in a small office, preferably for a not-for-profit or volunteer-led organization2) Experience with Judaic practices and rituals preferred, but not required.3) Knowledge of computers and databases- particularly Microsoft Office (Word, Excel, Publisher, and Outlook), Constant Contact, and Shul Cloud Preferred SkillsHighly OrganizedAbility to multitaskTeam PlayerExceptional Communication SkillsHighly efficientKnowledge of privacy and discretionary practicesCustomer Service MentalityAbility to work in a busy office environment
