Organizational Overview

The mission of The Butterfly Project is a call to action through education, the arts, and memorial making. We teach social justice through lessons of the Holocaust, educating participants about the dangers of hatred and bigotry to cultivate empathy and social responsibility. By painting ceramic butterflies, which are displayed as symbols of resilience and hope, participants remember the 1.5 million children killed during the Holocaust. This work honors The Butterfly Project's commitment to the Survivors to Never Forget.

THE OPPORTUNITY:

The Butterfly Project (TBP) seeks a results-oriented Program Coordinator.  The Program Coordinator will assist the Executive Director and the future Program & Education Director in supporting and coordinating The Butterfly Project’s educational initiatives and community engagement programs. This role supports the expansion of our reach and deepens the impact of our programs, ensuring they are effectively delivered to diverse school populations. The ideal candidate is passionate about social justice, Holocaust education, and the transformative power of art.

THE JOB

Program Coordination

  • Coordinate and support all aspects of TBP school and community-based programs from the first point of contact to completion.
  • Assist in the planning and executing of program activities, ensuring alignment with organizational goals.
  • Coordinate the day-to-day operations, including scheduling, resource allocation, and logistics.
  • Monitor program progress and make adjustments as needed to ensure successful outcomes.
  • Collect and analyze data to evaluate program effectiveness and impact.

Communications

  • Serve as the primary point of contact for program participants, partners, and stakeholders.
  • Respond to inquiries and provide information about programs and services.
  • Maintain strong relationships with and provide excellent customer service to community partners, volunteers, teachers, and other stakeholders who facilitate TBP programs.
  • Facilitate meetings and workshops to engage and inform program participants.
  • Under the guidance of the ED, design marketing and communication materials, including social media posts, flyers, etc, using Canva and/or Adobe.
  • Manage social media accounts, including posting regularly, updating schedule to include evergreen content, and responding to comments and messages received.

Order and Inventory Coordination

  • Order project supplies, track inventory, and establish projections for future needs using Airtable or other CRM. 
  • Identify and procure necessary supplies and materials for programs.
  • Prepare and ship butterfly orders for storage and/or shipping facility delivery. 

Administrative Support

  • Work with the Director of Operations to streamline the ordering and invoicing process.
  • Organize the office and storage areas; order office supplies.
  • Maintain accurate records of program activities, participant information, and outcomes.
  • Prepare reports, presentations, and other documentation as needed.
  • Ensure compliance with organizational policies and procedures.
  • Other administrative tasks include mail collection, technical and computer support coordination, and others as requested. 

Volunteer Coordination

  • Onboard and manage program volunteers.
  • Coordinate volunteer schedules and assignments to support program activities.
  • Provide volunteer support and recognition.

Community Engagement and Advocacy

  • Represent TBP at community events, meetings, and forums as needed.
  • Promote TBP’s mission and programs through outreach and engagement activities.
  • Advocate for the needs and interests of program participants and the community.

Executive & Administrative Support

  • Provide support as requested to the Executive Director and TBP Executive Team.

  • You can drive and have a clean record:  You must have a valid driver’s license and current automobile insurance. You must also be willing and able to use your own car for TBP  business. Fingerprint records are required.
  • You have a great sense of humor. You bring levity to the work, have fun, and don’t take yourself too seriously!

QUALIFICATIONS

  • Bachelor’s degree in a relevant field or commensurate experience.
  • Experience in administration, program coordination, project management, or a related role.
  • Experience in the educational or non-profit sector is preferred.
  • Excellent communication and public speaking skills.
  • Proficiency in Microsoft Office Suite, Google Workspace, Canva, AirTable, project management tools, and other relevant software.
  • Strong interpersonal skills and the ability to build relationships with diverse groups.
  • Passionate about The Butterfly Project’s mission and committed to fostering empathy, resilience, and action against hatred and bigotry.

COMMITMENT, COMPENSATION, AND BENEFITS

This is a regular, full-time, exempt position with a salary range of $45,000 to $60,000 annually, commensurate with experience. Generous vacation and health care benefits.
