Position Summary:
The Department of Synagogue Success (DSS) is the key interface between USCJ and the lay and professional leadership of affiliated Conservative synagogues in North America. The department engages over 1500 synagogue leaders per year through board training, strategic planning, online learning, local and national conferences and strategic partnerships with leading Jewish organizations.
We have an exciting opportunity for an Administrative Assistant to provide a range of activities to a remote team of professionals who provide support services to our national network of synagogue congregations. The key focus areas of this role are: administrative support activities, data collection and digital event coordination and delivery.
The ideal candidate for this role is a service-minded professional, proficient and comfortable with technology (including Google Suite, database software, working with data and digital processes, etc.) in order to be the team “go-to” person for all administrative tasks related to information-technology systems management and the smooth delivery and preparation of virtual and in-person events. This is a part-time position (20 - 25 hours per week) with some evening hours to run webinars (which are typically scheduled well in advance). The schedule is flexible but must be consistent, and attendance at weekly Wednesday team meetings is required.
Key Responsibilities:
The key focus areas of this role are administrative assistance, data collection and event coordination and delivery (in-person or digital format).
Administrative Support and Data Collection Responsibilities
Provide support to the DSS Supervisor and Team Members related to department programs and events, data collection and data management.
- Update and keep current the DSS calendar of all events (webinars, workshops, conferences, cohorts, etc.), DSS monthly report, as well as the DSS Webinar and NPS matrix.
- Capture data in the CRM database relating to all event participants, synagogues and KST relationships, including but not limited to completed programs and events.
- Collect Synagogue Pulse Survey data for analysis.
- Conduct Outreach and Data Collection for Synagogue Executive and Professional Leadership.
- Conduct Timely and Accurate Maintenance of Google Group(s).
- Create and Manage DSS Surveys utilizing Survey Monkey.
- Attend team meetings, take notes and conduct follow-up as needed.
Support for Programs, Webinars and other Events
Work closely with DSS Directors to ensure standardized structure, procedures and practices are in place and followed which are essential to successful delivery of all department events
- Manage recruitment and logistics for all virtual and in-person events at the direction of the DSS Supervisor or Team Member.
- Inform MarCom of upcoming programming and mailings’ needs on a timely basis.
- Collaborate with MarCom to promote and archive events.
- Manage event registration process. Distribute recruitment emails and registrant notifications. Address and respond to registrant questions.
- Act as the “technology host” for Zoom and Webex webinars, including pre- and post-webinar prep and data collection.
- Conduct pre-webinar prep. Build slide decks, ensure timely speaker communication and distribute attendee notifications.
- Conduct post-webinar follow-up. Distribute attendee surveys. Collect, input and manage attendee data according to DSS protocols.
- Track registrations of all events, as well as actual attendees. Extract and analyze data from the CRM database on a monthly basis.
- Track number and specific events each synagogue registers for.
- Note the number of synagogues registering for more than one event in the fiscal year.

Job Requirements:
- Must be able to work both independently and to take direction and work effectively with multiple team members that have differing work styles, needs and priorities
- Must demonstrate effective communication skills (verbal, written and interpersonal), time management, project management, service mindset, high accuracy data entry, attention to detail and excellent organizational skills
- Must be proficient in Google Workspace, Word, Excel and Powerpoint
- Must have strong technology skills including Zoom and Webex video communication platforms
- Must be a proactive problem-solver who figures things out and gets things done, versus waiting to be told
- Previous experience with CRM database preferred
- Experience with Survey Monkey preferred, but will train

Must be located within the Eastern Time Zone, or willing to work Eastern time hours
