SUMMARY
Congregation Emanu-El is seeking a Senior Administrative Assistant to the Senior Rabbi. This role will oversee a wide range of functions including performing all administrative duties to necessary to support the Senior Rabbi and special project management for the Senior Rabbi. The ideal candidate has exceptional computer and internet skills, can take dictation and work a Dictaphone, and is sensitive to confidential matters and works well with management, staff and congregants. Candidates should possess strong attention to detail in all aspects of their work, including follow-up and customer service. This role requires an experienced Administrative Assistant who can speak with authority and easily adapt to managing multiple tasks and deadlines.
The Senior Administrative Assistant will serve as an integral member of the Clergy leadership team, working closely with the Senior Rabbi, other clergy, the Chief Operating Officer, and other key leaders.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Senior Administrative Assistant
- Maintain appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel
- Correspondence: review incoming correspondence, draft letters, and documents
- Utilize dictation and a dictaphone as needed
- Ensure confidentiality of all exchanges with congregants, management, and staff
- Provide phone support for the Senior Rabbi, fielding calls and prioritizing messages as necessary
- Interface with members at sensitive points in the lifecycle, including birth, marriage, divorce, and death
- Maintains credit card account reconciliation as well as the Philanthropic Fund requests and reporting
- Greet guests in person and by phone to create a warm and welcoming environment
Leadership
- Serves as a professional resource to the clergy administrative staff when conceptualizing, planning, and implementing initiatives
- Will coordinate periodic Clergy Department meetings
Special Projects
- Completes work on special projects as directed by the Senior Rabbi
- Assist with implementation, communication, finances, and record keeping for clergy-managed programs, including the submittal of event dates and set-ups to the Director of Special Events and Operations and the Administrator
- May be assigned Membership department and High Holy Day assignments
- Perform other related duties as assigned or required; duties and responsibilities may be added or changed
QUALIFICATIONS:
- Bachelor’s degree and relevant work experience
- Attention to detail and professionalism
- 5+ years’ experience working as an Executive or Administrative Assistant
- Outstanding written, verbal, and interpersonal communication skills
- Strong sense of and passion for synagogue life
- Knowledge of and comfort with Reform Jewish principles and practices
- Ability to work independently and as a member of a team
- Ability to handle multiple projects, work well under pressure, prioritize, meet deadlines, and produce quality results on schedule
- Strong skills as a project manager and team player who can collaborate well with peers and senior management
