Temple Beth Ami is a vibrant Reform congregation in Rockville, MD serving a multi-generational community through a robust range of services and programming. The Clergy Assistant provides essential assistance to our two Rabbis and our Cantor to ensure their seamless support of more than 800 member families.

The ideal candidate will have high emotional intelligence, the capacity to keep sensitive information in confidence, be highly organized; and have excellent written and interpersonal communication skills, exceptional attention to detail, as well as the ability to take initiative and prioritize daily tasks in a fast-paced environment.

This individual directly reports to the Senior Rabbi.

Specific responsibilities include:

B’nei Mitzvah Scheduling

  • Scheduling student service dates in coordination with executive director, clergy, and religious school staff.
  • Managing meeting schedules with families, tutors, and clergy
  • Ordering student materials and assembling student binders
  • Preparing certificates and gifts for each child
  • Schedule sanctuary and chapel for rehearsals
  • Assist clergy with setting Torah and sanctuary technology in advance of rehearsals
  • Schedule sanctuary photography appointments

 Worship Service Support

  • Schedule all worship services on TBA website
  • Schedule all worship services on livestreaming platform
  • Manage process for board member representatives for Shabbat evening and morning/afternoon services
  • Manage TBA TV scheduling to ensure a volunteer is on site for all worship services
  • Manage TBA TV training schedules in coordination with TBA TV lay leaders
  • Manage Slack channel for TBA TV
  • Create initial service pray by pray for B'nei Mitzvah services only
  • Creating initial Keynotes for all B’nei Mitzvah services and update as needed in coordination with clergy

General Clergy Support

  • Manage clergy calendars
  • Assist with coordination of lifecycle events as needed, including bris, baby naming, weddings, unveilings, funerals, conversions
  • Write shiva/sheloshim/1st yahrzeit letters
  • Write Aliyah letters (for anyone going to Israel to live)
  • Collaborate with administrative team as needed to support clergy needs

Ritual Support

  • Coordinate with Operations Manager and custodial staff to ensure appropriate ritual preparation for worship services - wine, candles, challah, furniture set up, managing books for HHDs
  • Coordinate with Operations Manager and custodial staff to provide set-up information for worship services, rehearsals, lectures, Torah study, minyan, Shabbatone rehearsals, BM family meetings/classes, etc.
  • Funeral assistance - support families as they enter the building and during pre-service receiving; parking lot logistics as needed in coordination with ED and Operations Manager; coordinate TBA TV volunteer for live streaming service

Yahrzeits

  • Manage yahrzeit records in ShulCloud
  • Run weekly yahrzeit report for upcoming yahrzeit dates and notify families of their upcoming observances
  • Manage yahrzeit special requests - pronunciations for clergy, moving yahrzeit dates

Other Responsibilities

  • Zoom room management including supporting custodial staff with setup needs
  • Collaborate with Executive Director to manage sanctuary AV equipment upgrades and maintenance
  • Write condolence letters on behalf of the board president
  • Assist with answering main phone line; address requests directly whenever possible before transferring to other staff

 Required Qualifications

  • Bachelor’s degree
  • Outstanding interpersonal skills with a demonstrated commitment to customer service
  • High attention to detail
  • Excellent writing skills and organizational skills
  • Ability to organize, manage priorities, multi-task, perform under pressure, and complete projects with deadlines
  • Highly proficient in MS Office Suite
  • Fluent in Apple/Mac devices and software, especially Keynote
  • Proficient with Slack
  • Preferred proficiency with CRM database management programs
  • Ability to decode Hebrew (read w/o necessarily understanding) 

Preferred Qualifications

  • Experience with ShulCloud (member portal) software
  • Experience in Jewish communal organizations
  • Experience in AV technology 

Work Environment

Hybrid (on-site work in Rockville, MD)

Salary Range

$50,000 - $60,000 based on experience
