Job Description

Position Type: Part-time with potential to transition into a full-time role

Salary: $20-25/hour based on experience

Work Environment: Primarily remote with occasional in-person meetings and event day support. Assistants must have access to a car or other mode of transportation to get themselves to and from events and in person days.

We are seeking a highly organized and proactive Administrative & Events Assistant who will also serve as a Personal Assistant to our CEO. This dual role is critical in managing the organizational backbone of our business and ensuring seamless coordination with clients, vendors, and the broader team, while also driving sales through targeted marketing efforts.

Responsibilities

  • Administrative Support:
    • Manage daily office operations including scheduling, email correspondence, and calendar management using Google Suite and HoneyBook.
    • Organize digital files and maintain updated records of client and vendor information.

  • Event Planning, Design & Production:
    • Assist with planning and executing Jewish wedding events from conception to completion.
    • Manage all project delivery elements to ensure events are completed within set time limits.
    • Coordinate logistics on event days, including vendor outreach, venue coordination, and on-site support.
       
  • Client & Vendor Relations:
    • Liaise with clients to identify their needs and ensure customer satisfaction by providing exceptional, empathetic service.
    • Serve as a primary point of contact for client inquiries and support during high-stress periods.
    • Conduct outreach to venues and vendors, negotiating contracts and gathering essential information prior to closing deals.
    • Provide regular feedback and periodic reports to the owner regarding project status and client satisfaction.

  • Social Media & Marketing Support:
    • Assist in overseeing and updating our social media platforms (Instagram, TikTok, YouTube Shorts, Pinterest).
    • Collaborate with our Social Media Manager on content creation and scheduling to maintain our brand’s online presence.
    • Drive efforts to increase sales through targeted marketing campaigns and initiatives. 
  • Organizational Tasks:
    • Support behind-the-scenes operations, ensuring that every detail is attended to in a timely and organized manner.
    • Proactively take initiative to streamline processes and improve workflow efficiency.

Requirements

    • Education: Bachelor's degree or equivalent experience preferred.
    • Experience: Prior experience in weddings or events is a plus. Administrative support or a related field is highly desirable. Knowledge about Orthodox Jewish practices is a plus.

  • Technical Skills:
    • Proficiency with Google Suite, Canva, and social media platforms (Instagram, TikTok, YouTube Shorts, Pinterest).
    • Comfortable learning and using new software and digital tools.

  • Core Competencies & Personal Qualities:
    • Exceptional organizational skills with a keen eye for detail and multi-tasking abilities.
    • Excellent verbal and written communication skills.
    • Proven initiative and the ability to work independently while managing multiple priorities.
    • Strong interpersonal skills with an empathetic, client-first mindset, especially during emotionally charged situations.
    • Must be flexible and able to accommodate last-minute needs.
    • Available to work on weekends and holidays as required.
    • Goal-oriented with a desire to succeed.
    • Able to handle stress and remain calm under pressure.
    • Strong problem-solving ability is a must.
    • Must have a positive attitude, exude enthusiasm, and be a team player.

  • Flexibility: Ability to work remotely with the willingness to attend in-person meetings and event days as required.
  • Transportation: Must have access to a car or other reliable mode of transportation to get themselves to and from events and in-person workdays as needed.
