UJA-Federation of New York’s work is to care for Jews everywhere and New Yorkers of all backgrounds, to respond to crises close to home and far away, and to shape our Jewish future. The Network Department works in partnership with our core partners to ensure that they are well-managed organizations, and that they continue to meet the needs of an ever-evolving population. We do this by providing general operating support, monitoring the financial and governance practices of our closest partners, and by providing designated grants to support technology/digital advancement, energy efficiency programs, and talent development at all levels.
The Planning Assistant provides essential administrative support for senior professionals and committees across the Network Department. The right candidate is a confident, independent thinker with strong computer, organizational, and data-management skills. To be successful, this person must be able to work and collaborate effectively within the department and across the broader UJA team, both with volunteers and professionals. The Planning Assistant will report to the Network Planning Director, work on projects with other members of the Network team and ensure internal operational excellence.
Primary Responsibilities:
- Provide administrative support for 2-3 Network committees, including Agency Oversight and Network Planning committees, including:
- Onboarding and rotation process for lay leaders
- Developing and distributing meeting materials
- Managing aspects of the meeting, including preparing agendas, liaising with FRD colleagues, food orders, AV, Zoom and preparation of meeting minutes
- Provide calendar support for the managing director and three senior professionals in the department.
- Oversee the management of the team’s files in SharePoint, ensuring that our documents are easily accessible and up-to-date.
- Coordinate with Operations team to manage and track departmental grants, vendor contracts, and payments.
- Assist the team in tracking and managing UJA’s relationships with core partners, including:
- Managing distribution lists and ensuring they are updated and accurate
- Tracking and managing the onboarding process for new CEOs in UJA’s network
- Assisting with planning and running Exec Net, a quarterly gathering of all UJA’s core partner executive directors
- Coordinating external site visits at partner organizations for lay leadership and professionals
- Contribute as needed to the various projects connected to other departments in UJA.
Qualifications and Competencies:
- Bachelor’s degree
- Ability to be flexible as responsibilities change to meet shifting needs
- Very strong attention to detail
- Excellent technical skills including Excel, Word, and PowerPoint
- Ability to learn new systems, tools and software quickly
- Strong customer service orientation, including good written and verbal communication
- Strong interpersonal skills and ability to collaborate effectively with different personalities
- Proactive in identifying problems and takes initiative in finding solutions
- Interest in the non-profit sector
Salary:
The salary for this position is $50,000 annually.
