Position Summary:

Reporting to the Director of Community Partnerships and the Director of Finance, the Operations Administrator will provide reliable operations services and expertise to Melton’s internal team and build capacity to engage and support our partners’ needs. The Operations Administrator – Partnerships and Finance establishes and maintains outstanding communication with all constituents and sets the standard for expert assistance and effective delivery of all services.  

Essential Duties and Responsibilities:

  1. Works in partnership with the Director of Finance and the Director of Community Partnerships to create and implement policies, procedures and programs that support our organizational goals.
  2. Supports Director of Community Partnerships in communications with current agency heads and directors as well as potential partners about the terms and operations of our partnerships. This includes contracts, annual renewals, registration, books, eBooks and other operational areas.
  3. Manages outside vendors that provide essential support to the organization including, but not limited to printing/shipping of books and eBooks.
  4. Ensure vendor contracts are managed effectively, maximizing Melton’s resources.
  5. Takes lead responsibility for planning and following through on logistics for most in-person gatherings including our annual International Directors Conference, Conference of Learners and other events as needed.
  6. Assists Director of Finance with financial aspects of interactions with the sites. This includes invoicing for reader purchases, checking rosters, and being involved in the process of determining the stipends paid to the sites.
  7. Performs various financial functions including check deposits, input of credit card charges, and processing information in QBO.
  8. Contribute to Melton’s positive organizational culture through modeling our values and a strong work ethic.
  9. Perform additional tasks as needed to support Melton’s operational and organizational mission.

The ideal candidate will have the following skills and qualifications:

  1. Ability to organize and prioritize tasks, juggle multiple priorities, and move quickly from one project to another while maintaining overall perspective.
  2. Demonstrated experience interacting positively and effectively with diverse stakeholders.
  3. Proven abilities in planning and implementing in-person gatherings.
  4. Proven skills with the Microsoft Office suite, QuickBooks Online and an understanding of database systems.
  5. Superior interpersonal, written, and oral skills.
  6. 1-2+ years of related work experience, preferably in a non-profit environment including a proven track record of success in operations.

 

The Operations Administrator works 80% time (Monday – Thursday: 32 hours/week) The salary range is $48,000 -$54,000 and will be commensurate with experience. This is a hybrid position in which the employee is expected to go into the New York office two - three days per week.
