MOMENTUM BACKGROUND
Momentum (previously known as the JWRP), a global non-profit organization based in Maryland, USA, was established in 2008 to empower women to change the world through Jewish values that transform themselves, their families, their communities, and the world.
Momentum’s flagship program, the Momentum Year-Long journey, is an educational experience that includes a free, eight-day, personal immersive journey through Israel. More than 20,000 Jewish individuals from more than 25 different countries have already experienced this life changing trip, together with 250 Partner Organizations around the world. Participants return home with the best gift of all — a love for Israel, a profound kinship with each other, and a connection to Jewish values. At the request of many participants, their husbands, and Partner Organizations, we created Momentum opportunities for men, helping to lift the family together. Over 1,000 men have already experienced the spirit-building power of Momentum. In 2014, Momentum partnered with Israel’s Ministry of Diaspora Affairs, significantly expanding Momentum’s reach.

POSITION OVERVIEW 

The Executive Administrative Manager plays a critical role as the primary administrative support to the Chief Operating Officer (COO) of Momentum Unlimited, a global nonprofit Jewish communal organization. This position executes the support of the COO at an executive level including calendar management, correspondence administration, process enhancement, expense reporting, and travel coordination. This role provides high level support to the COO by attending meetings on their behalf, creating relevant agendas based on their insights, strategic support of the workplan and the Board’s strategic drawing board. This role requires someone to showcase a high level of confidentiality, attention to detail, organization, and professionalism. This is a hybrid position requiring 2-3 days per week in an office space in NYC. 


KEY RESPONSIBILITIES  
  • Strategically and proactively oversees the calendar of COO by promptly responding to meeting requests, prioritizing conflicting needs, effectively balancing meeting frequencies, and making necessary adjustments to optimize scheduling effectiveness.
  • Provide thorough meeting preparation, development and distribution of relevant meeting agendas and minutes, and timely management of follow-up requirements.
  • Responsible for all virtual and in-person internal meeting logistics such as invitations, catering, room reservations, attendance lists, and audio/visual equipment.   
  • Serve as a partner to the COO, providing insights, recommendations, and support to drive initiatives forward.
  • Manage special projects and initiatives on behalf of the COO, ensuring timely execution and delivery of results.
  • Together with the COO create, manage, and follow up on all strategic processes including but not limited to the Board’s strategic drawing board, department work plans, and project responsibilities for the organization. 
  • Facilitates seamless communication between the COO and internal departments, demonstrating leadership to uphold credibility, trust, and support with senior management staff. 
  • Develop and refine a wide range of presentation materials, reports, letters, and professional communication. Manages the preparation and distribution of board committee communications.
  • Directly communicate with board members, professional staff, donors, and vendors on behalf of the COO upon request.
  • Seamlessly support all platform updates and management for the work of the COO (e.g. project management platforms). 
  • Plans and implements all travel components (both national and international) including reservations, ticketing, ground transportation, meeting materials preparation, detailed itineraries, expense reports, and managing out of office notifications.
  • Performs other duties as assigned.


QUALIFICATIONS
  • Bachelor’s degree required. 
  • A minimum of 5 years of related experience including working with management leadership roles; prior experience working with nonprofit or community-based agencies is strongly preferred.  
  • PC literacy with very strong competency in all Microsoft Office Suite programs (Word, Excel, PowerPoint, SharePoint) and Outlook.
  • Knowledge of and prior use of Salesforce software and project management platforms is strongly preferred.
  • Demonstrated ability to work with and maintain confidential information.
  • Ability to handle multiple tasks with proven organizational skills. Demonstrated ability to achieve high performance goals and meet deadlines in a fast-paced environment with competing demands.
  • Ability to use independent judgment in resolving various problems.
  • Ability to maintain composure and effectiveness under pressure.
  • Exceptional oral and written communication skills – strong writing and proven proofreading.
  • Demonstrated ability to take initiative, and actively seek opportunities.
  • Exceptional customer service skills.
  • Proven ability to develop and maintain strong relationships with donors, colleagues, volunteers, and VIP level constituents.
  • Ability to work irregular hours including occasional nights and Sundays that involve organizational events and meetings.
  • Ability to periodically travel

This is an exempt position. The salary range is $75,000 - $80,000 annually, depending on relevant experience.
