The Cantor’s Assistant & B’nai Mitzvah Coordinator provides essential administrative and programmatic support for Temple Beth El’s cantor and music program while overseeing all aspects of the B’nai Mitzvah process. This role manages the Cantor’s study, supports worship and music logistics, and serves as the primary liaison to families preparing for B’nai Mitzvah. With responsibilities spanning administration, scheduling, communication, and event coordination, this position ensures that our clergy, staff, and families experience a process that is organized, welcoming, and meaningful.
Manage the Cantor’s study: greet visitors, answer questions, screen calls, order and maintain supplies, and ensure a professional workspace.
Handle correspondence, calendar management, and scheduling for the Cantor.
Process check requests, track music and tribute fund budgets, and reconcile financial records.
Oversee sheet music files (digital and print), cue sheets, binders, and J-License entries.
Schedule piano/organ tunings and coordinate with choirs and musicians.
Support Shabbat, High Holy Days, and special services with music preparation, binders, logistics, and payment coordination.
Maintain rosters and records for choirs, musicians, and guest artists, ensuring compliance with documentation requirements.
Oversee the entire B’nai Mitzvah scheduling process: assign and track dates, update ShulCloud and master calendars, and communicate with families and staff.
Maintain handbooks, forms, timelines, and resources for families.
Serve as the primary liaison for students and families, answering questions and providing guidance throughout the process.
Coordinate with clergy, tutors, educators, facilities, and caterers to ensure smooth rehearsals, services, and celebrations.
Track student progress, tutoring hours, honors sheets, aliyot lists, and service outlines.
Manage publications: submit bios and photos for congregational communications and The Jewish News.
Prepare and submit payroll for Hebrew and B’nai Mitzvah tutors.
Provide on-site support at rehearsals and services.
Draft letters of assignment, confirmations, thank-yous, condolences, and other correspondence.
Send timely reminders, updates, and instructions to families.
Maintain detailed records (digital and hard copy) for financials, B’nai Mitzvah logistics, correspondence, and music programming.
Facilitate meetings, workshops, and orientation sessions for families.
Collaborate with clergy and staff to continually refine and improve the B’nai Mitzvah program.
Strong organizational, communication, and time-management skills.
Warm, welcoming, and patient demeanor; ability to build relationships with families and students.
Detail-oriented and able to manage multiple timelines simultaneously.
Familiarity with Jewish ritual life and synagogue practice; Hebrew knowledge helpful but not required.
Experience in administration, education, event coordination, or congregational work preferred.
Proficiency with databases, scheduling software, and email communication.
Flexible availability, including some evenings, weekends, and Jewish holidays.
Schedule: Full-time (40 hours/week) with occasional evenings, weekends, and holidays.
Compensation: $40,000–$45,000, commensurate with experience.
