Description

Ohev Sholom Congregation is seeking a Program/Operations Manager to bring our synagogue’s vision for community life into action. This position will be responsible for planning, coordination, and execution of synagogue programs, working closely with clergy, staff, and lay leaders to create meaningful and seamless experiences for our members.

This role is a blend of program leadership and operational management. The Program/Operations Manager will oversee logistics for holidays, lifecycle celebrations, and educational offerings while also ensuring the administrative systems and communications that support our programs run smoothly. The ideal candidate is detail-oriented, thrives behind the scenes, and is energized by the variety of responsibilities that come with synagogue life—from event planning to member communications to stepping in where needed to keep operations moving.

Key Responsibilities

Program Management

  • Support the implementation of synagogue programs including Shabbat, holidays, lifecycle celebrations, and adult learning
  • Manage event logistics: food, space setup, reservations, technology, and materials
  • Ensure seamless execution of programs, with a particular focus on holiday celebrations and community-wide events
  • Maintain program schedules and synagogue-wide calendars for staff, clergy, and building use

Communications & Member Engagement

  • Develop and distribute program communications, including weekly and holiday emails, web updates, and flyers/signage
  • Manage lifecycle notices (births, deaths, yahrzeits) and donor recognition lists
  • Support donor acknowledgements and other program-related member communications

Administrative & Operational Support

  • Serve as a welcoming first point of contact for members and visitors by phone, email, or in person
  • Manage synagogue systems (ShulCloud) for events, registrations, member records, and calendars
  • Support daily office operations (supplies, mail, copier, building access, filing systems)
  • Prepare and distribute welcome materials for new members

Shabbat, Holiday & Lifecycle Logistics

  • Oversee synagogue’s annual operational calendar and prepare seasonal checklists for all holidays
  • Coordinate meals such as Kiddush, Seudat Shlishit, and holiday dinners
  • Manage yahrzeit communications and ensure timely notifications to families
  • Support Bar/Bat Mitzvah scheduling, documentation, and celebration logistics

Volunteer & Facility Coordination

  • Partner with volunteers and lay leaders to support successful program execution
  • Coordinate with facilities and maintenance staff for event setup, food deliveries, and cleanup

Other Duties as Assigned

  • Provide administrative coverage, project support, or emerging operational needs to ensure programs and synagogue life run smoothly

Qualifications

  • 3+ years of experience in program management, ideally in a nonprofit, Jewish communal, or congregational setting
  • Demonstrated ability to plan, coordinate, and execute events and programs of varying size and scope
  • Strong organizational, multitasking, and problem-solving skills
  • Excellent written and verbal communication abilities
  • Proficiency with database systems (ShulCloud preferred), Google Workspace, and communications tools (Mailchimp, Canva, Constant Contact)
  • Warm, welcoming, and member-service-oriented mindset
  • Familiarity with Jewish holidays, customs, and synagogue life strongly preferred
  • Flexibility to support programs outside of regular office hours (holidays, evening events, etc.)
