Executive Assistant to the CEO

 

About JCRC-NY:

The Jewish Community Relations Council of New York (JCRC-NY), a proud partner of UJA-Federation of New York, serves as the primary community relations agency for the Jewish community in the metropolitan New York area. As an active force in New York civic and communal life, JCRC-NY operates as a central coordinating and resource body to advance the values, interests and security of the New York Jewish community and build a more interconnected New York for all.

 

Position Overview:

The Executive Assistant to the CEO provides high-level administrative and organizational support to the CEO and plays a vital role in ensuring the smooth functioning of executive operations and serving as a liaison to the Board of Directors. This individual must be proactive, highly organized, discrete, and able to manage multiple priorities in a fast-paced, high profile, mission-driven environment. This position reports directly to the CEO and coordinates with the CEO’s Chief of Staff. This is a full-time, 40-hour per week position in the office from Monday-Thursday and working remotely on Friday.

 

Responsibilities:

The Executive Assistant to the CEO will bring a strong ability to:

 

Administer the Office of the CEO

  • Manage and optimize the CEO’s calendar, schedule internal and external meetings, and coordinate complex travel arrangements.
  • Serve as the primary point of contact for communications to and from the CEO’s office. Inform the CEO’s Chief of Staff on matters of significance.
  • Draft, edit, and proofread correspondence, memos, and other documentation on behalf of the CEO.
  • With the CEO’s Chief of Staff, prepare the CEO for meetings and events by crafting agendas, gathering background materials and briefing documents, and ensuring information is up-to-date.
  • Handle confidential information with professionalism, discretion, and sensitivity.
  • Oversee expense reporting, invoice processing, and administrative support tasks for the CEO’s office.
  • Anticipate the CEO’s needs and provide proactive support to ensure optimal time management and workflow.
  • Communicate and collaborate with senior staff, partner organizations, government officials, and community leaders on behalf of the CEO when requested.
  • Support special projects and strategic initiatives led by the CEO and perform additional administrative duties as assigned.

Board Relations

  • Coordinate and support meetings of the Board of Directors, Executive Committee, and other leadership bodies, including preparing agendas, taking minutes, and tracking follow-up actions.
  • Serve as the principal administrative support for the Board of Directors and Executive Committee.
  • Assist in coordinating Board and Executive Committee meetings, including scheduling, drafting agendas, preparing and distributing materials, recording minutes, and tracking follow-up actions.
  • Maintain and update Board rosters, contact lists, and related governance documents.
  • Support Board member engagement through timely communications, information sharing, and event coordination.
  • Assist with the preparation and logistics of board and staff meetings, orientation sessions for new members, and special Board-related events.

Organization-Wide Activities

  • Support cross-departmental initiatives and organization-wide projects led by the CEO or his designate.
  • Facilitate internal communication among staff as needed.
  • Assist in the coordination of major events, public programs, and special initiatives.
  • Contribute to the development of operational systems that enhance efficiency and collaboration across the organization.

 

Requirements

  • Minimum 5 years of high-level administrative experience supporting a senior executive, preferably in non-profit, Jewish communal, public affairs, or government settings.
  • Strong interpersonal skills, with the ability to work effectively with senior leaders, Board members, community partners, and staff.
  • Ability to schedule meetings for small and large groups, coordinate multiple calendars, and ensure seamless integration of digital platforms and relevant notes for attendees.
  • Excellent written, verbal, organizational, and time management skills, incredible attention to detail and accuracy, with an ability to manage multiple and competing priorities simultaneously.
  • Ability to work independently, prioritize tasks, and thrive in a dynamic, fast-paced environment
  • High degree of professionalism, discretion, and confidentiality.
  • A strong capacity with Microsoft Outlook, Word, Excel and PowerPoint applications and Google-Suite (mail, drive, docs, calendar, and sheets); familiarity with CRM platforms is a plus.
  • Familiarity with the New York Jewish community, Jewish organizations, New York civic life, and/or intergroup relations is desirable.

Compensation and Benefits

  • Salary range: $65,000-$75,000
  • Benefits package, healthcare, dental, life insurance, paid vacation, personal/sick days, UJA-Federation pension plan, 403B plan available
