Department:  Temple Emanu-El Streicker Outreach Center

FLSA Status:    Salary Non-Exempt

Schedule:        Monday – Friday with Evenings

 

SUMMARY

As the educational and cultural division of Temple Emanu-El, the first Reform Jewish synagogue in New York City, the Streicker Centers offers a busy calendar of major events including evenings with remarkable figures, musical performances, book launches, films, and discussions, as well as classes and overseas trips. All of this is organized and run by a small and cohesive staff with big ideas. The Outreach Center aims to engage targeted cohorts and provide creative opportunities to further explore and engage in Judaism in safe and vibrant settings. The Program and Administrative Assistant will serve under the supervision of the Assistant Director of the Streicker Centers. Professional responsibilities will include:

Program Planning and Execution

  • Work with a close team of staff to develop, plan and execute successful events for the Streicker Outreach Center
  • Research and maintain relationships with outside vendors, venues, and other stakeholders
  • Manage registration system (Ticketleap) and communication including sending confirmation emails, post-event follow-up, and responding to individual concerns/questions
  • Keep up-to-date records of registration and attendance for all programming
  • Work as part of a team to market and promote each event according to its specific audience and needs
  • Act as primary contact for event vendors, including venue, caterers, entertainment, and technical needs leading up to the event date and on the event date
  • Oversee the ordering and/or preparation of supplies and/or materials needed for programs, including research, pricing, ordering, and inventorying
  • Attend events and serve as onsite contact for vendors and program attendees
  • Work with Operations Manager to hire, manage and guide short-term staff for specific programs
  • Support Assistant Director in developing and maintaining partnerships and organizational collaborations
  • Keep on top of industry trends to provide cutting-edge experiences
  • Develop and deliver program survey/evaluations strategy and implementation (both internally and for program participants)

Administrative Support

  • Maintain the organization of calendars for the department
  • Keep track of office and event inventory and replenish as needed
  • Manage the [email protected] email account, respond to inquiries promptly and politely
  • Keep up-to-date records of event finances, including check requests, payment schedules, and invoices
  • Review monthly budget reports and request corrections where needed
  • Provide up-to-date registration numbers for staff when requested
  • Provide support when needed with marketing efforts, including social media
  • Provide support when needed with editing emails, documents, event descriptions, etc.

Qualifications

The ideal candidate for this position will possess or exhibit the following qualifications:

  • At least two years of professional experience, preferably in an events-based position
  • Capable of successfully tackling multiple projects simultaneously
  • Ready to provide a high-level administrative, operational, programmatic, and organizational support
  • Excellent interpersonal, communication, and organizational skills
  • Achievement-oriented, passionate, fun, and responsible
  • Excited at the opportunity to be part of a small team with big goals
  • Proficient with Zoom, Microsoft Word, Excel, and Microsoft Outlook Suite
