Temple Beth Zion, an independent, inclusive synagogue, is looking for an experienced, committed Full-Time or Part-Time (25-28 hours per week) Office and Membership Manager/Assistant to the Hebrew School Director. This position is an integral part of our small professional staff.

The successful candidate will work independently and cooperatively to create and maintain a welcoming and responsive environment throughout our synagogue ensuring high levels of organizational effectiveness, coordination and communication with the Synagoge’s Executive Director, Rabbis, Hebrew School Faculty, Board President, and membership. 

Duties and responsibilities include:

  • Providing general administrative support, 
  • Interacting with synagogue members, prospective members and the general public over the phone, zoom, email and in-person,
  • Coordinating and handling a variety of projects,
  • Supporting the Hebrew School Director and faculty
  • Maintaining office and kitchen supplies
  • Managing facility needs specifically: custodial, repairs, catering, events.

Previous experience as an office manager or office administrator is a must. 

The successful candidate should have experience with a variety of office software (email tools, spreadsheets and databases) and be able to accurately handle administrative duties. Ultimately, the Office Manager should be able to ensure the smooth running of the office and help to improve synagogue procedures and day-to-day operations. 

We are looking for a flexible team member with varied administrative experience that can also work independently with minimal direction. The ideal candidate will bring initiative, creativity and strong social skills to this position.

The candidate need not be Jewish although curiosity and commitment to understanding the rhythms of synagogue life is necessary.

Responsibilities will be at a maximum during High Holidays (September, October). Detailed Duties: 

  • Create and maintain a warm and supportive TBZ atmosphere 
  • Work collegially and creatively with membership, professional staff and volunteers on a wide variety of projects.
  • Answer phone, door, emails and all first touch communications.
  • Welcome new members and see to the needs of present members.
  • Support the Director and the Faculty of TBZ’s weekly Hebrew School and its programming initiatives.
  • Provide daily, weekly and holiday planning and support for Exec. Director and Rabbis.
  • Work with the Executive Director and Bookkeeper on accounts payable and receivable 
  • Maintain, update, and track all constituent data in our CRM Database -  ShulCloud (e.g., membership renewal, donations/pledges etc).
  • Organize, prepare and send mailings as needed including dues statements, thank you letters, announcements etc.
  • Maintain and update organizational calendar and send changes to TBZ Communications Assistant.
  • Provide support and assistance to volunteer TBZ Committees as needed.
  • Assess and order supplies: administrative, religious, educational.
  • Work with custodians on site to support building needs.
  • Attend weekly Admin meetings.
  • Schedule facility use with outside groups as directed.
  • Serve as the initial point of contact for vendors and service providers.
  • Maintain and update filing.


  • A minimum of 3+ years’ office manager experience.
  • Exceptional interpersonal skills with a friendly and professional demeanor on the telephone and in person.
  • Ability to interact and communicate with a variety of audiences and hold confidential information.
  • Excellent time management skills and ability to multitask and prioritize work.
  • Proficiency with Google Drive/MS Office Suite including Google Docs, Email, Sheets, and Forms.
  • Experience with ShulCloud (or other CRM/Donor databases) is a big plus.  
  • Attention to the accuracy and presentation of materials.
  • Spanish proficiency is a big plus.
