Associate Director – WIZO Florida 

The Associate Director is responsible for ensuring the effective day-to-day staff supervision of WIZO Florida. This position reports to the Executive Director and oversees internal operations, HR administration, staff supervision, event logistics, and works closely with volunteers, vendors and partners. The role requires outstanding organizational skills, attention to detail, and the ability to drive systems and processes that enhance productivity across the organization. Full-Time, in-house positon. 

Key Responsibilities 

Operations & Office Management 

  • Supervise daily office operations and facilitate clear internal communication. 
  • Coordinate staff scheduling, vacation tracking, and project timelines. 
  • Manage HR administration: onboarding, staff, compliance, and insurance. 
  • Liaise with external vendors and oversee platforms like QuickBooks, Bill.com, and office tech systems.
  • Maintain compliance with nonprofit regulations, licenses, and insurance. 
  • Help implement and streamline processes and systems to improve efficiency of the chapter (e.g., templates, project management tools). 

Event Execution 

  • Oversee logistics and operations for major events, including venue, contracts, vendors, budgets.
  • Maintain event timelines and budgets; manage post-event wrap-up, evaluations, and reporting.
  • Provide on-site support during events to ensure seamless execution. 

Staff Management 

  • Work closely with the Executive Director, Chairperson and Treasurer to streamline daily tasks and long term goals.
  • Lead weekly staff meetings and conduct daily team check-ins. 
  • Ensure staff compliance with WIZO Florida’s operational and organizational guidelines.
  • Foster a collaborative, efficient, and respectful team culture.
  • Guide professional development and performance management.

Budgeting & Reporting 

  • Assist with managing event and office budgets, reimbursements, and vendor payments.
  • Work with the Treasurer and Executive Director to ensure accurate accounting procedures.
  • Maintain internal spreadsheets, shared folders, and event dashboards. 
  • Coordinate with an accounting firm on reconciliations and financial tracking. 
  • Assist with audit 

Qualifications 

  • 10 years in nonprofit operations, event logistics, or organizational management.
  • Experience supervising teams and collaborating with boards/volunteers. 
  • Skilled in QuickBooks, AI, project management tools, MS Office, Raiser’s Edge knowledge a plus.
  • Excellent organizational and communication skills. 
  • Ability to lead with professionalism, clarity, and compassion.
