WHO WE ARE
Congregation Beth Sholom, located in Teaneck, NJ, is a warm, vibrant, egalitarian Conservative synagogue of approximately 400 member families that takes a fresh approach to balancing whole-hearted Jewish observance and learning with modern life.

The Administrative Assistant/Bookkeeping Liaison is a part-time (15-20 hours per week) position, hourly, non-exempt. The administrative assistant is responsible for assisting with local bookkeeping needs, interfacing with remote bookkeeping service, providing support to members regarding membership accounts, and providing general administrative support within the synagogue office and facility including support of the Senior Staff, and Financial Officers. The position reports to the Synagogue Administrator.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

BOOKKEEPING

  1. Document and submit checks received in the synagogue office to remote bookkeeping service
  2. Create deposits received for local deposit at synagogue bank
  3. Input forms, donations, specific orders, and pledges into ShulCloud (CRM)
  4. Take donation information via phone
  5. Organizing, preparing, and submitting accounts payable invoices to the offsite bookkeeper.
  6. Prepare and send donation acknowledgement notices when entering pledges/payments into the system
  7. Work with Synagogue Administrator and Financial Officers to review accounts receivable invoices monthly for preparation to send to membership households

ADMINISTRATIVE 

  1. Serve as part of the reception team answering the front door, telephone, and assisting members and guests who enter or call the office, often providing a first impression of the synagogue for visitors and callers.
  2. Assist with preparation of electronic and paper mailings as requested
  3. Attend staff meetings
  4. Help develop print and electronic communications
  5. Assist with special projects as needed and assigned by Senior Staff and lay leadership.

GENERAL

Job Requirements

  1. Excellent customer service skills, verbal and written communications skills
  2. Proficiency with Microsoft Word, Excel and Google (or any similar cloud-based software)
  3. Experience with accounting software (QuickBooks preferred) and membership database systems (ShulCloud) a plus
  4. Team-oriented and self-motivated work style
  5. High degree of accuracy, well organized and attention to detail
