Job Summary:

We are seeking an enthusiastic, organized administrative assistant to the cantor and cantorial intern and B’nei Mitzvah coordinator.  This person will provide support to the cantor with any administrative tasks, including coordinating the B’nei Mitzvah program, so that it runs smoothly.  As the B’nei Mitzvah coordinator, this person will support the experience of our members during this significant milestone in their lives.  On a practical level, this person will handle all of the B’nei Mitzvah planning, information, logistics, and communication, in consultation with the senior cantor and other clergy.  In addition, this person will be an essential engagement representative, interfacing with congregants and B’nei Mitzvah families to assist them through their B’nei Mitzvah journey.  This position requires the ability to balance the support work for the cantor and cantorial intern, the administrative tasks of the B’nei Mitzvah Program, and the intangible people skills that are essential to the culture of our synagogue.  Timeliness, attention to detail, and collaboration are essential, as are good judgment, a talent for customer service, and a positive, engaging style.

Reports to: Senior Cantor

 

Position Responsibilities:

Support the cantor, including serving as the front-line communicator and coordinator supporting the experience of B’nei Mitzvah families; providing information, resources, and a positive outlook aligned with the synagogue’s priority of making this a positive and meaningful experience that creates a lasting connection with our members.

 

Administrative Assistant to the Cantor

  • Assist the cantor and cantorial intern with any administrative tasks including correspondence, answering phone calls, scheduling appointments and managing calendars
  • Scan, send and copy music as needed
  • Copy programs for special musical programs or concerts
  • Make copies of Torah study packets as needed
  • Send out agreements for the Shabbat and High Holy Day musicians
  • Send emails to junior choir and/or adult choir as needed
  • Put songsheets/music in binders for the junior & teen choirs

 B’nei Mitzvah Coordinator

  • Create yearly B’nei Mitzvah Schedule of Meetings and rehearsals, which include progress meetings and D’var Torah meetings;

- Meeting with Cantor to go over scheduling of dates & finalize

  • Inputting all meetings, schedule of rehearsals in Cantor Calendar and synagogue calendar;
  • Coordination of B’nei Mitzvah Meetings and rehearsals with Clergy and families;
  • Create schedule for yearly tutor sessions;
  • Oversee day-to-day tutoring and meeting schedules
  • Coordination with families for reserving Sanctuary for Photo sessions;
  • Coordination with Religious School on various matters;
  • Liaison between parents and tutors when needed, assessing tutor calendar and needs;
  • Maintain weekly time of tutors and submit to payroll;
  • Email daily schedule to tutors and any other announcements from Senior Cantor;
  • Reminders to B’nei Mitzvah parents of scheduled meetings, rehearsals (on a weekly basis), holiday breaks, special tutoring, other relevant information;
  • Create and maintain B’nei Mitzvah tutoring records for each student;
  • Working/following-up with families on B’nei Mitzvah date assignment/changes/special needs;
  • Responsible for overseeing that the B’nei Mitzvah Fee has been arranged/paid for before child entering into the B’nei Mitzvah system;
  • Sending out link to livestream and zoom to B’nei Mitzvah families having service on Saturday;
  • Sending families the link to the recording of the service and downloading on flash drive;
  • Generating reports on a yearly basis of students three years beforehand to issue and coordinate B’nei Mitzvah dates;
  • Maintain B’nei Mitzvah supplies, parasha books, binders, siddurs;
  • Coordinate the honors form and send to clergy;
  • Intake/screen calls from B’nei Mitzvah parents
