Job Title: Helfman Assistant and Registrar

Function: Customer Service and Administrative Support

Reports to: Helfman Religious School Director

Position Description: The Helfman Assistant and Registrar provides administrative support to the Helfman Religious School Director and their department. The primary duties are to produce, maintain and organize all student and teacher data and other materials related to the operations of Helfman Religious School. This person is integral to providing a warm and welcoming atmosphere in the religious school and excellent customer service to school families and congregants. 

The Helfman Assistant and Registrar position requires a detail-oriented individual who excels at multitasking and problem solving and can anticipate the needs of those they support. The person must be able to prioritize and take initiative. Exceptional organizational and computer skills are essential. The position requires sensitivity to personal situations and adherence to confidentiality. Given the nature of synagogue work, a great deal of flexibility and ability to pivot based on changing circumstances is essential. The individual is expected to work with the administrative team to support congregational operations as needed.

Duties and Responsibilities:

  • Assists and communicates with school families, teachers and congregants by warmly greeting them, in person, on the telephone, or via email, and answering or directing inquiries
  • Generates responses and other correspondence promptly and accurately
  • Maintains accuracy of Religious School database in ShulCloud, including coordinating annual enrollment, setting up terms/courses/classes, generating reports and rosters, tracking student attendance, integrating B’nei Mitzvah data, and creating and tracking RSVP forms and other supplemental materials
  • Maintains accuracy of Religious School teacher records, including preparing contracts, tracking attendance and professional development hours, and generating monthly payroll documents
  • Coordinates Religious School programs and mailings as directed by Education Team
  • Maintains calendar accuracy by planning and scheduling meetings and events 
  • Purchases, maintains, and organizes supplies and office machines as needed
  • Creates, copies and distributes documents and materials as requested
  • Keeps thorough and organized files and history of prior work product, correspondence, meetings and events
  • Coordinates with the synagogue facilities team to ensure all Religious School classes and events are supported 
  • Work with Helfman Religious School Committee and staff to implement special programming, including the annual fundraiser, the Purim carnival

 

Skills and Educational Requirements:

  • Excellent verbal and written communication skills
  • Strong customer service skills
  • Organized record-keeping skills
  • Computer Skills: ShulCloud/Database preferred, Microsoft Office 365 (Outlook, Word, Excel, PowerPoint), Slack, Canva and other online forms and programs
  • Time management skills
  • Excellent organizational, team and independent work skills 
  • Bachelor’s degree preferred

 

Hours: School year: Sun 7:30-2:00; Mon-Thurs 8:30-5:00; Summer Mon-Fri 8:30-5:00 (4:30 on Fridays)

Salary Band: $48,000-$50,000

Congregation Emanu El is a Reform synagogue of approximately 1,600 member families in Houston, Texas, near the Museum District and Rice University. Our Helfman Religious School has a student body of approximately 450 students in grades PreK3-12.
