Position: Database and Development Associate

Reports to: Director of Development 

Hours: Full-time salaried position - Exempt - Flexible; Some evenings and weekends required 

Valley Beth Shalom is seeking a Database and Development Associate. Reporting to the Director of Development, this role provides support to Valley Beth Shalom through (1) the customization, configuration, and support of the CRM Database; (2) the production and management of event registration and online donation processes; (3) helping and empowering other staff with reports and dashboards in the CRM; and (4) all development-related administrative activities.

Database CRM Coordination: 

Serve as the primary point-of-contact with Database and become an expert at maximizing the full functionality of this system 

Best Practices: 

  • Develop protocols for data entry and processing
  • Work closely with the Membership Director to implement online registration processes and forms
  • Troubleshoot issues related to the online Member Portal, e.g. reset logins and passwords 
  • Support database infrastructure (objects, fields, record types, report types) 
  • Build, support and educate staff in creating reports 
  • Build, manage, troubleshoot Forms and Form connections 

Database Development Support: 

  • Maintain Donor records 
  • Manage donation forms and donor acknowledgments 
  • Comparison reports 
  • Monthly reconciliation of donations 

Development Coordination:

This position will oversee the administrative aspects of fundraising for our development team. Managing a database, documenting fundraising efforts, creating reports and working to improve donor relations. Maintaining communication with donors and members in person, on the phone, by email and written correspondence. 

  • In coordination with the Executive Management, assist in the design of  an overall development plan which includes a timeline and the resources needed for outreach, major donor relationships, annual fundraising, and the capital campaign.
  • Support in planning, organizing, and implementing all fundraising activities which may include Annual Campaign Donor Events, Stewardship Events, Gala, Email, Social Media and direct mail correspondence, cultivation and solicitation. 
  • Responsible for building and maintaining donor database and accurate donor records. 
  • Work with lay leaders and Executive Management to identify and rate potential donors. Develop strategies for tracking cultivation, solicitation, and stewardship moves for individual major donors. 
  • In coordination with Executive Management, prepare all materials needed for fundraising including invitations, email, brochures, annual appeals, capital campaign materials, etc. 
  • Work with outside vendors for design, printing and mailing of development materials. 
  • Responsible for correspondence related to donor communication, which includes thank you notes, gift/tribute acknowledgements, annual giving campaign, gala, discretionary funds and donor recognition programs. 
  • Coordinate with the Endowment Board for the quarterly communications to Endowment Fund Contributors. 
  • Work with the accounting department to assure timely generation of pledge reminders and accurate recording of pledges and donations including Mobile Cause tracking and reporting for campaigns (“Text to Give”). Document and track all donations (cash, pledges, matching gifts, and planned gifts). 
  • Provide regular reports to the Executive Management and Board on fundraising progress. Maintain, analyze data and compile reports on current or prospective members and donors (membership, campaign, contribution comparison etc.) 
  • Order and manage all memorial plaque requests. Track and document all plaques in database. Maintain a spreadsheet of all orders for “reserved” plaques and current orders (Google document). Coordinate placement of plaques on the memorial wall. Send orders to vendor and submit invoices to accounting. 
  • Support lay leadership and Executive Management with other projects as needed.

You have:

  • Three to five years experience in a database/fundraising administrative capacity
  • Experience in non-profit and/or religious sector preferred
  • Strong technology proficiency with skills including Microsoft Office and Google Suite
