Job Title: Lifecycle Event Coordinator
Department and Location: Palo Alto, CA
Reports to: Executive Director
Status: Full or Part Time depending on preference. Healthcare is provided to full time employees.
Congregation Kol Emeth in the heart of Palo Alto, CA is looking for a Lifecycle Event Coordinator to join our synagogue’s team. Congregation Kol Emeth is an egalitarian, traditional and vibrant organization experiencing fast growth and has recently moved into a newly constructed LEED Platinum building. We are reimagining programming for the 21st century, and this position is part of a close-knit team consistently pushing the envelope of what is possible.
Job Summary:
We are searching for a talented and motivated team member to work with families, facilities and catering staff and clergy on milestone events. These events include, but are not limited to, B’Mitzvahs, weddings, and funerals. You will own every part of planning the event, such as meeting with families, the Mitzvah Director, working with clergy to improve processes and what Kol Emeth can offer, negotiating with vendors, and evaluating results afterward.
As the Lifecycle Event Coordinator, you are well-organized and possess a sound knowledge of Jewish events or are interested in learning about them. You would have experience that comes from organizing similar events and/or prior experience in a synagogue. Excellent written and spoken communication and attention to detail are vital in this role.
This is a part-time or full time position depending on the right candidate’s preferences.
Duties/Responsibilities:
- Work closely with the Facilities and Catering Director and the clergy to produce a seamless event
- Meet with and identify the families’ requirements and expectations
- Manage relationships with vendors, catering and facilities staff and families during the event planning process
- Together with the Facilities and Catering Director, guide and orient the catering/events team
- Oversee the performance of the facilities and catering team during events
- Coordinate setup and teardown with staff and any external vendors
- Work with the Finance Manager to ensure proper billing for the event
- Proven ability to:
- Pay close attention to details and accuracy
- Work effectively in a team-oriented environment
- Conceptualize and implement process improvements
- Organize effectively and be detail oriented, ensuring accuracy of all work
- Exercise initiative and sound judgment and react with discretion, maintaining appropriate confidentiality
- Work independently, with little supervision
Required Experience:
- 3+ years of successful and progressive experience that demonstrates the ability to plan events and/or complex projects
- Well-organized with excellent multi-tasking abilities
- Intellectual curiosity and excellent customer service skills
- Outstanding vendor management skills
- Strong written and verbal communication and interpersonal skills
- Experience working with online content and communications management systems
Preferred Experience:
- Prior experience organizing lifecycle events at a synagogue with an in-house kosher kitchen
- Experience with Jewish rituals are highly preferred
- Supervisory experience preferred
Education:
- A Bachelor’s Degree or equivalent
Basic and Physical Requirements:
- Work onsite at our Palo Alto location, some remote work may be possible
- Reliable transportation
- Flexibility to work weekdays and weekends as necessary
- Prolonged periods of walking/moving on the day of the event
- Must be able to lift up to 20 pounds
