POSITION SUMMARY:  A key staff member, the Office Manager, provides critical administrative oversite and support in several areas, including our data management system, member and volunteer relations, communications, bookkeeping, occasional special events.  The person hired will have experience working in a busy office and strong organizational and communication skills with a desire to learn and grow with membership and staff that is warm and welcoming.  The position may include weekend and evening hours on rare occasions, but weekdays in the office are primarily from 9:00 am – 4:00 pm, with half days on Fridays.  B'nai Havurah will gladly consider some flex-time and remote work.  The position is offered as full-time, though qualified candidates will be considered, upon request, for a job share.




  • Answers and directs incoming phone calls and greets visitors.
  • Maintains, updates, and tracks all constituent data entered in our data software program, ShulCloud (e. g., membership renewal, tenant contracts, religious school registration).
  • Assists in the scheduling, logistics, and material preparation for meetings, events, and classes.
  • Prepares and sends letters and notifications of meetings.
  • Maintains and orders supplies and equipment for the facility, as needed.
  • Maintains and updates our organizational calendar.
  • Prepares tenant contracts and schedules facility use with outside groups.
  • Serves as point of contact for vendors and service providers.
  • Maintains and updates filing systems.



  • Manages our website and keeps the content up to date
  • Supports social media efforts: creates content according to need and schedule.
  • Oversees and initiates mailings, including invitations, flyers, dues statements, thank you letters, and more.
  • Works collaboratively to produce our annual report and other publications.


  • Oversees, enters, and tracks all payments and donations to B'nai Havurah.
  • Prepares and submits bank deposits.
  • Works collaborative with the Executive Director, Bookkeeper, and Finance Committee.
  • Maintains accurate records of membership dues, tuition payments, and donations using our online and supported database program.

Member Relations / Volunteer Leadership

  • Takes a leadership role in developing a professional, warm and welcoming demeanor with membership.
  • Recruits, supports, and supervises volunteers for various programs and events.
  • Cooperatively works with the congregation staff and volunteers on a wide variety of projects.


  • Work with the Executive Director and the Development Committee on specific fundraising programs throughout the year.
  • Working collaboratively with lay leadership, identifies fundraising needs and implements programs and activities.


Basic Qualifications

  • College graduate.
  • Three or more years of office administrative or management experience.
  • Proficient on the computer and comfortable using a variety of software programs.
  • QuickBooks experience is helpful.
  • Strong written and spoken communication skills.
  • Social media experience.
  • Bookkeeping experience or comfort with basic mathematics.
  • Flexible and able to maintain positive and productive working relationships with others.
  • Willingness to perform other tasks, responsibilities, and special projects as assigned.
  • Attention to detail and ability to multi-task, prioritize, organize and problem-solve.
