Position Overview 

The Operations Associate is a member of the Finance & Operations team and will support all Operational areas at Federation, including Risk Management, Security, IT, and Building Operations. This position will assist in designing and implementing a project management function that will support needs across the organization. This position will initially assist in building processes, procedures, templates, guidelines, and systems to support the organization's project needs. Once established, the Operations Associate will support the rollout of the new project management function, including training and communication for staff. After rollout, the Operations Associate will support ongoing organization project needs in all phases from planning to execution to project completion. This position will be a partner and provide excellent customer service in all aspects of project management: developing work plans, coordinating logistics, tracking progress and providing hands-on support.

 

Roles and Responsibilities 

Project Management Coordination 

 

  • Participate in evolution of project management function for the organization 
  • Implement and manage workflow process; serve as point of contact for project management workflow 
  • Coordinate with colleagues to determine the appropriate planning and resources to ensure successful completion of projects 
  • Support and participate in cross functional team meetings related to projects; document meeting minutes; prepare and/or edit meeting minutes, presentations and tables 
  • Track and coordinate the completion of operation team deliverables 
  • Ensure teams and projects receive operational support from the Business Operations team including but not limited to IT, Finance, Building Operations, Security, and HR. 

 

Communication & Training 
 

  • Serve as a partner for project management resources across the organization; maintain a customer-service oriented approach to supporting the team in meeting their goals 
  • Collaborate with project teams to understand and assist with tracking all work, tasks, and project assignments to completion;  
  • Escalate any project related issues, such as scheduling and/or urgent requests as appropriate. 
  • Report project(s) status on a regular basis to corresponding departments and communicate updates with management. 
  • Gather information, policies, research, and resources, and identify practices for responding to project-related issues. 
  • Assess, evaluate, and enhance existing training and resources related to project management  

 

Administrative Support  

  • Support building operations team in maintaining a professional physical brand and experience for new and existing employees 
  • Coordinate event scheduling for the broader Finance and Operations team, including events with lay leaders and committees as well as internal staff-wide functions 
  • Provide support for business operations processes such as corporate insurance applications, procurement, state registrations, grants processes, and data entry into our CRM 
  • Maintain process documentation in accordance with Federation guidelines, such as filing all project related documents and managing change control process; interface with other departments regarding their document controls for projects 
  • Other relevant tasks as assigned 

 

Skills and Experience: 

 

  • Bachelor's Degree or equivalent combination of education and experience; coursework in project management preferred 
  • Ability to efficiently and effectively use Microsoft products such as Outlook, Word, Excel, PowerPoint and SharePoint. 
  • Ability to use advanced Excel features such as Pivot Table, VLookup, and Reporting is required 
  • Experience with ClickUp or other project management software is a plus. 
  • Provide excellent customer service, strong interpersonal and communications skills, working with a professional and positive attitude 
  • Ability to assist with organizing and tracking details for project-related activities and events including budget expenditures, logistics, and programmatic information 
  • Working knowledge of project management best practices, including Scheduling, Resource Management, Cost Management, documenting, and implementing project related tasks. 
  • Ability to understand the sense of urgency partners, customers and colleagues may have, specifically as it relates to projects that have impact on donor and community relationship management. 
  • Strong problem solving and critical thinking skills; can make sound and logical decisions and choose the appropriate courses of action based on the parameters of the situation at hand

Candidates should be located in or willing to relocate to the Greater Washington (DC, MD, and Northern VA) region.
