Congregation Beth Yeshurun is looking for a full-time Administrative & Database Associate to act as the primary contact for our congregants and community. This role involves providing information, assisting with donations and program registrations, helping congregants access their accounts, and handling other inquiries. The person in this position will report directly to the Executive Director and will oversee our CRM, ShulCloud, helping us utilize its features to benefit our Membership, Programming, Development, Marketing, Education, and Accounting departments. Additionally, this associate will have the chance to lead internal projects aimed at improving processes to serve our congregants better.
RESPONSIBILITIES AND DUTIES:
Congregant Customer Service
- Receive all inquiries – in person, by phone, and via our info mailbox – committing to replies within 24 hours.
- Problem solve: assist with calendar and programming inquiries and registrations; assist customers with making donations; help congregants to understand monthly statements and update information; provide general information about membership and operations; support catering and facilities by forwarding inquiries and coordinating visitors/vendors to campus; direct inquiries that need further expertise to the right staff with background information to expedite problem solving
- Coordinate security cards and parking access for congregants and vendors.
- Handle incoming and outgoing mail and packages.
CRM Management & Reporting
- Become our internal expert in ShulCloud and train staff as needed.
- Assist senior staff across the organization with targeted reporting to support initiatives
- Coordinate communication with congregants regarding upcoming Yarzheits.
- Coordinate communication with donors and honorees regarding donations.
- Make sure that congregants' contact information is always current. Run reports to identify errors and missing details, then contact individuals to update their information.
Board Support
- Support the Board President and Executive Director in managing communication with the board and committees.
- Assist with implementing new board software and maintaining its content.
Project Management
- Yizkor Book – Collect data throughout the year for our Memorial Book and the addenda published three times annually; coordinate with our printer to ensure timely delivery for the High Holy Days.
- Yarzheit Communication – Extract data and coordinate communication with mourners to ensure time reminders for yarzheits.
- Coordinate High Holy Day reciprocal tickets, ticket inquiries, parking passes, and lulav & etrog orders.
- Opportunity for more short- and long-term projects as Administrative & Database Associate becomes proficient in other tasks.
Office Management
- Proactively oversee office and copier supplies
- Coordinate with Programming, Facilities, and the Executive Director to distribute the weekly security schedule.
- Coordinate with ERGOS, our IT support vendor, to ensure all internal tickets are handled.
- Coordinate staff schedules both in and out of the office, and oversee office volunteers.
QUALIFICATIONS
Education & Experience: Minimum of a bachelor’s degree. 3-5 years of experience in Jewish non-profit organizations preferred. Knowledge of Conservative Judaism is a plus.
Organization & Collaboration: Strong ability to multitask, prioritize projects in a fast-paced environment, and work effectively with diverse teams and stakeholders. Exceptional problem-solving skills.
Technical Skills: Skilled user of Microsoft 365, Adobe Suite, project management tools (such as Microsoft Teams), and CRM systems (experience with Shulcloud a plus).
Communication: Excellent writing and verbal skills, with the ability to communicate with congregants, staff at all levels, and vendors.
Adaptability & Initiative: Self-motivated and adaptable, able to work independently or as part of a team while upholding high standards.
